Job Posting Title: Administrative Associate Hiring Department: Marine Science Institute Position Open To: All Applicants Weekly Scheduled Hours: 40 FLSA Status: Non-Exempt from FLSA Earliest Start Date: Immediately Position Duration: Expected to Continue Location: PORT ARANSAS, TX Job Details: General Notes This position is located in Port Aransas, Tx. Only applicants authorized to work in the US will be considered. Purpose To assist the department with various administrative and accounting tasks and provide support for the department's day-to-day operations Responsibilities Inventory Management: Manage and maintain accurate inventory records, including updating equipment locations and assigned responsible individuals. Coordinate annual equipment certification and process CCARTS transactions. Identify newly acquired equipment and coordinate with inventory contacts to ensure proper tagging, documentation, and reporting. Coordinate with the Surplus Property department for the appropriate disposition of inventoried and non-inventoried items. Serve as the primary contact and coordinator for auctioned items, including traveling to Austin as needed to facilitate proper disposition. Lead ad hoc inventory-related projects, including itemizing non-inventoried items for faculty and scientific staff, organizing the warehouse, and developing and maintaining a public-facing portal listing available inventory items. Accounting: Process VP2 and VP7 transactions to support existing staff and accommodate increasing workload. Reconciliations and Endowment Accounts: Track and reconcile endowment accounts and prepare related reports. Other Duties: Perform other related functions and special projects as assigned. Required Qualifications Bachelor's degree or high school graduation or GED and 5 years of clerical experience Computer literacy in programs such as DocuSign, Adobe, and Microsoft Office Preferred Qualifications Experience working with institutions of higher ed or nonprofit Experience with Define and UT applications Salary Range $40,000 + Working Conditions Typical office working conditions Employment Eligibility Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers.
