Billing SpecialistWe're hiring a Billing Specialist to support the financial operations of Norm Law. This role is responsible for ensuring accurate, timely, and efficient billing processes in compliance with client-specific requirements, while partnering closely with attorneys, clients, and the firm's finance and operations teams. You'll play a critical role in maintaining billing accuracy, improving operational workflows, and delivering an exceptional client experience through thoughtful financial administration.Billing OperationsPrepare, review, and process client invoices in accordance with client billing guidelines and engagement termsReview attorney matter entries and expenses for completeness, accuracy, and compliance prior to billingCoordinate monthly billing cycles and ensure invoices are delivered accurately and on scheduleMonitor billing status and proactively resolve issues that may delay invoice delivery or paymentAttorney & Client SupportPartner with attorneys to review pre-bills, implement edits, and finalize invoicesRespond to billing inquiries from attorneys and clients with professionalism and urgencyDevelop a strong understanding of client-specific billing requirements and outside counsel guidelinesSupport the onboarding of new client billing arrangements and matter setupsAccounts Receivable SupportTrack outstanding invoices and assist with collections efforts by coordinating with attorneys and clientsReconcile billing discrepancies and resolve payment-related questionsMaintain accurate billing records and supporting documentationProcess ImprovementWork with finance and operations to identify opportunities to streamline billing workflows through automation and AI-enabled processesAssist in developing standardized billing procedures and documentationGenerate billing and financial reports as needed to support firm leadershipAdministrative SupportMaintain billing data within the firm's practice management and financial systemsAssist with month-end close activities related to billingPerform additional finance and operations projects as neededWhat We're Looking ForCore QualificationsBachelor's degree or equivalent professional experience3–5+ years of legal billing or law firm finance experienceExperience working with legal billing systems and accounting softwareStrong proficiency in Microsoft Excel and Google WorkspaceExcellent organizational skills with exceptional attention to detailStrong analytical and problem-solving abilitiesExcellent written and verbal communication skillsAbility to manage multiple priorities while meeting deadlinesAbility to handle confidential financial information with discretionComfortable working in a fast-paced, evolving environmentNice to HavesExperience billing for sophisticated corporate or financial services clientsFamiliarity with legal e-billing platforms (e.g., Legal Tracker, CounselLink, Tymetrix, Serengeti)Experience with law firm practice management or accounting systemsExperience leveraging AI tools to improve finance and operational workflowsExperience in a high-growth startup or rapidly scaling professional services organizationCompensation and BenefitsBase Salary: $90,000 to $120,000 a yearThe range displayed in this job posting reflects the minimum and maximum target for new hire salary for this position.
