Executive Secretary

Executive Secretary Job Summary PBS Utah, KUER 90.1 and Avanza 88.3 are seeking a 30 hour per week Executive Secretary to join our team. This benefited position will often be the first point of contact to visitors, donors, viewers and listeners. The position responsibilities include, but are not limited to, greeting visitors at the Eccles Broadcast Center (EBC), providing excellent customer service, assisting and providing administrative support to departments on a variety of administrative duties in accordance with specific instructions and established work procedures. The preferred applicant will have excellent written and verbal communication abilities, be self‑motivated, professional, and have a service‑minded mentality. This is a job share position and flexibility on hours worked is critical. PBS Utah, KUER and Avanza 88.3 share a commitment to make all Utah communities feel appreciated and connected. Our ideal candidate works as a trusted team member, interfacing with the communities we serve in an engaging and positive manner. Responsibilities Staff the EBC Atrium reception desk. Receives, greets and directs visitors to the appropriate person or department. Follows secure building procedures for admitting guests and visitors. General office support such as answering and directing phone calls, greeting and directing visitors, maintaining conference room schedules and arranging meetings. Arrange and monitor parking moratoriums, reserved stalls, and other parking requests working across campus departments. Provides a variety of administrative support as needed; organizes data for entry into a database. Assist Utah Public Media's donor services and development teams with inquiries from donors, listeners and viewers, as well as assistance with outbound communications and stewardship. May be asked to assist with meetings and events on site. Other duties as assigned. Minimum Qualifications High school diploma or equivalency (one year of education can be substituted for two years of related work experience). Four years full time secretarial experience or equivalency, word processing and spreadsheet software skills and demonstrated human relation and effective communication skills also required. Knowledge of business writing preferred. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description. Department Specific Qualifications Experience with Microsoft Office applications such as Word and Excel. Experience with Google Suite. High level of professional courtesy and communication skills. Ability to use time and resources effectively and efficiently. Must be able to work under pressure and meet deadlines. Preferences Excellent verbal and written communication skills.
