The American Jail Association (AJA) is seeking a highly organized, relationship-focused professional to join our team as Conference Partnerships & Exhibits Manager .

This position plays a key role in the success of AJA’s conferences, events, and industry programs by managing exhibitor participation, sponsorship fulfillment, advertising opportunities, and relationships with companies that serve the corrections profession.

Working closely with the Director of Conferences, the Conference Partnerships & Exhibits Manager will help grow and strengthen AJA’s relationships with exhibitors, sponsors, advertisers, and industry partners while supporting the planning and execution of AJA meetings and events.

Duties

Exhibits & Industry Partnerships

• Manage exhibitor participation for AJA’s Annual Conference & Jail Expo and other meetings and events.
• Serve as a primary point of contact for exhibitors, providing excellent customer service and timely communication regarding logistics, deadlines, and participation opportunities.
• Process exhibit reservations and maintain accurate exhibitor records.
• Coordinate exhibitor renewals, retention efforts, and outreach to prospective exhibitors.
• Assist with exhibit hall floor plan development and management.
• Support exhibitor move-in, move-out, and onsite exhibit hall operations.
• Build and maintain strong relationships with exhibitors and industry partners.
• Serve as staff liaison to AJA’s Exhibitor Advisory Committee.

Sponsorships, Partnerships & Advertising

• Coordinate sponsorship opportunities across AJA conferences, publications, digital platforms, and training programs.
• Assist with developing sponsorship prospectuses, advertising opportunities, promotional programs, and partnership packages.
• Identify and maintain lists of prospective sponsors, advertisers, exhibitors, and industry partners.
• Manage sponsor agreements, deliverables, deadlines, and fulfillment.
• Coordinate collection of sponsor logos, advertisements, promotional materials, and other marketing assets.
• Coordinate advertising opportunities across AJA publications, digital platforms, conference materials, and programs.
• Maintain ongoing communication with sponsors and partners before, during, and after events.

Conference & Event Support

• Support the planning and execution of AJA’s Annual Conference & Jail Expo, Virtual Summit, and other meetings and events.
• Maintain exhibitor, sponsor, advertising, and conference tracking systems.
• Assist with conference timelines, project plans, and operational schedules.
• Coordinate sponsor recognition and fulfillment onsite.
• Assist with conference registration and attendee engagement initiatives as needed.
• Work collaboratively with AJA staff, contractors, venues, and other event partners.

Administration & Reporting

• Maintain accurate exhibitor, sponsor, advertiser, and partner databases.
• Track sponsorship commitments, advertising obligations, and exhibitor participation.
• Coordinate with AJA’s finance and administrative teams on agreements, invoicing, payments, monthly revenue reporting, and past-due accounts.
• Provide database updates and reports to contractors, vendors, and conference partners.
• Assist with maintaining accurate conference, sponsorship, exhibitor, and marketing information on the AJA website.
