Position Summary

The Accounting Assistant supports the Finance and Accounting team by performing a variety of accounting and administrative functions that help ensure the accuracy and integrity of the organization's financial operations. This seasonal position is responsible for processing accounts payable invoices, maintaining vendor records in NetSuite, assisting with account reconciliations, preparing reports and spreadsheets, and supporting month-end accounting activities. The Accounting Assistant also plays a key role in event-related financial operations, including cash handling and revenue reconciliation during the National Western Stock Show and other events hosted at The Legacy. Success in this role requires strong attention to detail, organizational skills, confidentiality, and the ability to collaborate effectively with staff, volunteers, exhibitors, vendors, and guests while supporting the mission of National Western.

Reports to: Vice President of Finance

What You'll Do

• Process accounts payable invoices and verify coding and approvals.
• Maintain vendor information in NetSuite
• Prepare and maintain spreadsheets and reports in Excel.
• Assist with account reconciliations and month-end activities.
• Provide event-related cash handling and revenue reconciliation support.
• Collaborate with staff, volunteers, exhibitors, vendors, and guests.
• Perform other duties and projects as assigned.

Skills & Abilities

• Experience in NetSuite preferred.
• Required experience in Microsoft Excel.
• Strong attention to detail and accuracy.
• Excellent organizational and communication skills.
• Ability to maintain confidentiality.
• Accounting, bookkeeping, or finance experience preferred.

Physical Demands

National Western Complex is a multi-purpose indoor and outdoor commercial and agricultural complex where dusty conditions and animals may exist. While performing the duties of this job, work is performed both indoors and outside in all weather conditions, including extreme cold, snow, wind, and rain, on varied surfaces.  

In this role, individuals will experience prolonged periods of sitting at a desk and working on a computer. Incumbent must be able to lift 15 pounds and access/navigate the National Western Complex in its entirety, with or without reasonable accommodation. 

Scheduling Requirements

While the schedule for this position is primarily a four-day work week taking place between Monday-Friday 9:00am to 4:30pm between the months of February to November, there will be certain occasions in which early morning, late evening, weekend, or holiday availability will be required to perform the essential functions of this position.  

Like almost all NWSS team members, this position will need to be on-site every day during Stock Show, typically for 12-16 hours at a time.  

Compensation & Benefits

• This is a seasonal non-exempt position 
• Compensation range: $22.00-$28.00 per hour depending on experience
• Sick time accrued at a rate of 1 hour for every 30 hours worked
