Facilities Work Order Coordinator

We are seeking an organized, detail-oriented Facilities Work Order Coordinator to join their operations team. In this central role, you will be responsible for coordinating field technician schedules, managing work order lifecycles, tracking labor and material costs, supporting timecard/payroll compliance, and maintaining accurate vehicle and safety records.

Working closely with field technicians and operations management, you will ensure work is scheduled efficiently, completed on time, accurately documented, and executed in compliance with company and client safety standards.

salary: $30 - $35 per hour

Responsibilities

• Work Order & Dispatch Management: Create, update, and manage work orders with detailed job scopes, labor requirements, and materials. Assign and schedule internal field technicians to support timely completion of service requests.

• Cost & Receipts Tracking: Assign and track all technician labor hours, material receipts, and associated costs under the appropriate work order and client accounts prior to closing jobs. Tag, upload, and organize supporting documentation (invoices, photos, receipts).

• Schedule & Progress Monitoring: Maintain technician schedules, job locations, estimated labor hours, and completion dates. Monitor ongoing progress and follow up on delayed work orders to ensure deadlines are met.
  
  
  
  Reporting & Auditing: Conduct routine audits of work orders, receipts, and timecards to maintain data integrity. Prepare operational reports regarding open work orders, technician hours, labor/material costs, and compliance metrics.
