SUMMARY:
The Inventory Supervisor is responsible for maintaining the integrity and accuracy of the company's inventory position across the entire cultivation lifecycle, from live plants through finished packaged products. This role owns the verification and reconciliation of physical inventory, Metrc, and Acumatica records, ensuring inventory remains accurate, compliant, and audit-ready at all times. Serving as the independent inventory integrity function, the Inventory Supervisor oversees inventory counts, investigates discrepancies to root cause, and drives corrective actions to ensure the verified inventory position aligns across all systems and physical locations. In partnership with the Distribution Supervisor, who oversees inventory in motion, the Inventory Supervisor maintains ownership of inventory at rest and the authoritative inventory record.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (this list is not all inclusive)
Owns the verified inventory position across all cultivation and distribution facilities, including live plants, mother and clone stock, vegetative and flowering canopy, harvested biomass, drying inventory, bucked material, and finished packaged products.
Conducts and oversee physical inventories and cycle counts to ensure inventory accuracy and maintain the established count cadence across all facilities.
Directs and manages inventory technicians and coordinate count support from cultivation, post-harvest, and distribution teams.
Develops, maintains, and enforces the inventory count calendar and reconciliation schedule.
Performs and validates final crop counts before harvest to ensure accurate inventory records within tracking systems.
Maintains independence from teams executing inventory transactions to preserve the integrity of inventory counts and reconciliations.
Owns the three-way reconciliation process between physical inventory, Metrc, and Acumatica, ensuring all records align on an established schedule.
Audits inventory activity within Metrc and Acumatica and identify discrepancies between physical inventory and system records.
Investigates inventory variances to determine root cause and coordinate corrective actions with the appropriate departments.
Directs the investigation and resolution of inventory discrepancies that cannot be attributed to a specific transaction and execute inventory adjustments when necessary.
Owns seed-to-sale tag integrity and lot-tracking standards to ensure traceability throughout the cultivation and distribution lifecycle.
Verifies that waste and destruction activities are accurately documented and reconciled within inventory systems.
Confirms that inventory transactions generated by fulfillment, transfers, manifests, and packaging activities reconcile with the verified inventory position.
Produces and communicates the authoritative inventory position to distribution, production planning, and executive leadership teams.
Prepares and distributes inventory reports, variance analyses, reconciliation summaries, and audit-readiness metrics.
Maintains inventory records in an audit-ready state and serve as the primary point of contact for regulators and auditors regarding inventory counts, reconciliation, and inventory integrity.
Develops, maintains, and updates standard operating procedures related to inventory counts, reconciliation processes, tag integrity, waste management, and destruction activities.
Trains employees who interact with inventory-on-inventory procedures, compliance requirements, and best practices.
Oversees sampling and package preparation for state compliance and quality-control testing, ensuring inventory transactions are accurately recorded and results are tied to the appropriate batches.
Owns the hiring, onboarding, employee development, performance management, disciplinary actions, promotions, and termination recommendations for the inventory department, ensuring all actions are executed in accordance with company policies and applicable regulations.
Identifies opportunities to improve inventory controls, processes, and reporting capabilities to support operational efficiency and compliance.
Executes ad hoc projects as assigned by direct supervisor.
CORE COMPETENCIES
Strong understanding of California cannabis regulations, DCC requirements, and seed-to-sale inventory controls.
Advanced knowledge of inventory reconciliation principles and inventory management best practices.
Ability to analyze complex inventory discrepancies and determine root causes across multiple systems.
Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
Demonstrated ability to lead and coordinate teams across cultivation, post-harvest, and distribution operations.
Exceptional attention to detail and commitment to maintaining accurate and reliable inventory records.
Ability to exercise sound judgment and independent decision-making while adhering to company policies and chain of command.
Strong analytical and problem-solving skills with the ability to interpret trends and implement corrective actions.
Excellent verbal and written communication skills with the ability to communicate effectively with employees, leadership, auditors, and regulatory agencies.
Proficiency with Metrc, Acumatica, Microsoft Excel, Google Sheets, and other inventory management systems.

Serves as a proactive change agent who drives process improvement, operational efficiency, and cultural alignment.
Demonstrates the ability to be flexible and work effectively across various sectors of the department as needed or requested by a direct supervisor. This includes the capacity to support other departments, ensuring seamless collaboration and responsiveness to organizational needs.
PHYSICAL REQUIREMENTS
Constantly: Walking, sitting at a desk, grasping/gripping, bending/stooping/squatting, finger dexterity, computer input, coordination of hand and eye.
Frequently: Standing for long periods of time, climbing stairs, and twisting.
Frequently: Reaching above shoulder height, lifting 50 lbs., ability to do push/pull motions.
Constantly: Use visual display terminals (e.g., computers, tablets) for extended periods of time.
Ability to walk on uneven terrain.
Ability to work in a stressful, fast-paced environment
EDUCATION AND EXPERIENCE REQUIRED
High school diploma or GED required; an Associate's degree, Bachelor's degree, or equivalent experience is preferred.
Minimum of three (3) years of experience managing inventory, reconciliation, or seed-to-sale tracking in a regulated industry, preferably cannabis.
Demonstrated experience using Metrc and cannabis inventory management systems, including tagging, reconciliation, and compliance reporting.
Experience with ERP and inventory management systems, preferably Acumatica.
Intermediate accounting, mathematical, and analytical skills.
Proficiency in Microsoft Excel, Google Sheets, and Google Docs.
Previous leadership or supervisory experience managing inventory teams preferred.
Must be at least 21 years of age and able to successfully pass all required background screenings in accordance with state regulations.
