Job Description Summary The OSEL Manager serves as a student affairs professional responsible for the coordination, advisement, and oversight of student organizations, leadership development, and related operational functions. The role exercises independent judgment in managing the full lifecycle of registered student organizations, including advising, compliance, training, and organizational development. It also oversees front desk student staff, integrating administrative systems with student development practices to enhance student success and belonging. Duties Student Organization Advisement, Development & Oversight Serve as the primary advisor and operational lead for all registered student organizations, exercising independent judgment in organizational oversight, compliance, financial processes, and leadership development. Provide ongoing advising and coaching to student leaders on leadership development, organizational effectiveness, risk management, event planning, and decision‑making. Develop and facilitate trainings, workshops, and educational resources on topics such as leadership skills, financial responsibility, event planning, and organizational transitions. Oversee the onboarding process for new student organizations, including training, compliance verification, and recognition approval. Guide organizations through problem‑solving, conflict resolution, and organizational challenges, using student development frameworks. Manage student organization financial processes, including funding allocations, purchasing, and documentation, ensuring accountability and compliance. Collaborate with campus partners to support student organization success and expand engagement opportunities. Assess student organization effectiveness and training outcomes to improve programs and services. Serve as the primary administrator for Campus Labs Engage, overseeing system operations, user access, and issue resolution. Apply student development theory and best practices to advising and program design. Support high‑impact student engagement experiences that promote belonging and leadership capacity. Serve as lead coordinator for student organization participation in major institutional programs such as Homecoming and Spotlight Weekend. Provide education, guidance, and interpretation of institutional policies to student leaders and advisors, supporting responsible expression, safe programming, and adherence to university standards. Provide on‑site leadership and make real‑time operational and programmatic decisions during evening and weekend events. Front Desk Operations & Student Staff Supervision Directly supervise front desk student staff, including hiring, evaluation, and performance management. Make independent decisions regarding staffing, scheduling, and performance issues. Establish workflows, service expectations, and accountability measures to ensure effective office operations. Coach, mentor, and develop student employees, addressing performance concerns and fostering professional growth. Student Leadership and Administrative Support Provide administrative support and coordination to both the Graduate and Adult Student Government (GASG) and the Associated Students of the University of La Verne (ASULV). Offer procedural and leadership guidance to student government executive officers related to governance structures, fiscal responsibility, and event coordination. Advise organizational continuity, leadership transitions, and compliance with governing documents and university policies. Oversee and maintain the GASG and ASULV websites and Campus Labs Engage platforms. Coordinate student government election processes, including candidate review, ballot preparation, and dissemination of results. Provide comprehensive administrative support for GASG and ASULV operations, including newsletters, purchasing, scheduling, and event logistics. Attend weekly GASG and ASULV meetings to provide advising, continuity, and administrative assistance that advance student leadership effectiveness. Make independent decisions regarding hiring, scheduling, performance management, and disciplinary actions for student staff. Summer Orientation, Advising, and Registration (SOAR) Administrative Support Provide comprehensive administrative and operational support for the SOAR program. Manage SLATE admissions CMS processes for registrants, including monitoring submissions, addressing technical issues, and resolving student and family concerns. Serve as a primary liaison for SOAR communications, ensuring timely responses to inquiries and coordination with campus partners. Oversee preparation of materials, logistics, and digital content to ensure an efficient and welcoming onboarding experience for new students. Analyze registration data and student feedback to inform future orientation planning and process enhancements. Maintain and regularly update the orientation website. Office Operations, Web, and Engagement Management Provide comprehensive operational and administrative leadership for OSEL, ensuring efficient coordination and alignment of office functions with divisional goals. Lead the digital engagement strategy for OSEL’s web presence and online platforms, ensuring content accuracy, accessibility, and consistent alignment with institutional branding. Utilize web analytics and digital insights to assess engagement trends, optimize user experience, and enhance the visibility of student programs and resources. Develop, implement, and maintain administrative systems and processes that support strategic initiatives, assessment efforts, and institutional reporting requirements. Integrate student development practices into operational systems to support services and processes that enhance student engagement and leadership outcomes. Collaborate with OSEL professional staff to plan, organize, and execute division‑wide initiatives, events, and outreach campaigns that enhance student engagement and leadership development. Compliance and Reporting Responsibilities Serve as the primary investigator for student organization‑related conduct matters, ensuring timely, equitable, and consistent resolution in alignment with institutional procedures. Ensure compliance with federal, state, and university regulations, including Clery Act reporting requirements and hazing prevention policies. Provide interpretation and guidance on university policies, including demonstration and protest guidelines, risk management expectations, and student organization conduct standards. Collaborate with campus partners (Student Conduct, Campus Safety, Title IX, and Legal Affairs) to assess, investigate, and resolve complex or high‑risk student organization issues. Make determinations and recommendations regarding student organization status, sanctions, or corrective actions, escalating cases as appropriate in accordance with university policy. Student Health Insurance Enrollment Support Manage Gallagher Insurance uploads for enrolled students to ensure compliance with university and provider requirements. Coordinate targeted communication campaigns (email and text message reminders) for insurance submissions and key deadlines. Serve as a primary point of contact for student insurance inquiries, providing guidance and resolution support. Mass Student Communication Oversee the student information mass correspondence distribution process to ensure clear, timely, and effective communication across the university. Develop and implement communication protocols that advance student engagement priorities. Assess the impact of outreach strategies through analytics and feedback. Serve as the administrative liaison for communication compliance related to mass messaging and brand standards. Minimum Qualifications Demonstrated experience advising student organizations and facilitating leadership development. Deep understanding of student engagement, leadership development, and higher education administration. Ability to design and deliver training programs, workshops, and educational initiatives. Experience advising student organizations and supporting leadership development. Experience supervising and managing student staff. Strong organizational, analytical, and project‑management skills. Advanced written and verbal communication abilities. Knowledge of fiscal management, university systems, and administrative best practices. Ability to interpret and apply complex policies and regulations in a university setting. Capacity for systems‑level thinking, process improvement, and data‑driven decision‑making. Strong interpersonal skills with the ability to navigate and influence across organizational levels. Commitment to diversity, equity, inclusion, and belonging within student engagement initiatives. Preferred Qualifications Proficiency in DocuSign, Campus Labs Engage, Microsoft Office Suite, SLATE, and web content management systems. Knowledge of higher education student programming. Master’s degree in Higher Education or pursuit of a degree.
