Bilingual Front Office Assistant

Salary:
$18.00 - $25.00 per hour (based on experience)

Job Summary:
We are seeking a detail-oriented and organized Home Care Office Assistant to support the daily operations of a growing home healthcare agency. This role serves as a key point of contact for clients, families, caregivers, and office staff while helping ensure smooth scheduling, accurate documentation, and efficient administrative processes. The ideal candidate will have prior home healthcare experience and be bilingual in English and Spanish.

Job Responsibilities:

• Coordinate caregiver schedules and match caregivers to client shifts based on availability and care needs.
• Manage schedule changes, call-offs, time-off requests, and urgent staffing needs.
• Answer incoming phone calls and assist clients, families, caregivers, and prospective clients.
• Relay important information between office staff, caregivers, nurses, and families.
• Maintain accurate and confidential client, caregiver, and employee records.
• Assist with onboarding paperwork and file management.
• Support billing functions, payment processing, and payroll preparation by reviewing caregiver timesheets.
• Monitor office supply inventory and place orders as needed.
• Greet visitors and provide general administrative support.
• Ensure compliance with company policies and healthcare documentation requirements.

Qualifications:

• Bilingual in English and Spanish (required).
• Previous experience working in a home healthcare, home care, or healthcare office environment (required).
• Strong scheduling and administrative coordination skills.
• Experience with billing, payroll support, or timesheet verification preferred.
• Proficient with Microsoft Office and general office software.
• Excellent communication, customer service, and organizational skills.
• Ability to multitask and work effectively in a fast-paced office environment.
• High attention to detail and ability to maintain confidentiality.
