Daily Building Operations: Oversee daily building operations to ensure the smooth and efficient functioning of the building. Responsibilities may include, but are not limited to:/pulliEnsure classrooms are appropriately covered/liliManage and assign building substitutes and day-to-day substitutes/liliAssign and track class coverages and payments/liliSupport coverage of counseling and nurse offices (elementary-specific)/liliCommunicate updates and changes from service providers (transportation, food service, etc.)/liliManage building hallpass system/liliManage parent notes, late arrivals, notes to class/li/ulp2. Front Office Management: Maintain oversight of front office. Responsibilities may include, but are not limited to:/pulliGreet and direct visitors, students and staff/liliEnsure all parties adhere to visitor sign-in and sign-out procedures/liliManage volunteers, student teachers, and others to ensure appropriate clearances and paperwork/liliMonitor students, family members, and other individuals in the office setting/li/ulp3. Stakeholder Interactions:/pulliMaintain strong and supportive relationships with parents, students, and staff/liliEvaluate stakeholder needs, determine urgency, and make decisions on how to respond/liliServe as an initial point of contact for questions and concerns/liliTriage unforeseen situations (emergency/conflict management and diffusing challenging situations)/li/ulp4. Discipline System and Records: Assist with the oversight and management of the disciplinary system. Responsibilities may include, but are not limited to:/pulliProcess and mail discipline referrals as directed by an administrator/liliEnter discipline records into the student information system/liliPrepare relevant discipline letters, citation notices, etc./liliTrack and update detention and suspension lists/liliTrack and update proctor lists and coverages/liliCommunicate relevant information to faculty, staff, and school police/li/ulp5. Student Accounting: Oversee functions related to student accounting. Responsibilities may include, but are not limited to:/pulliMaintain accurate student accounting records (registrations, transfers, withdrawals, etc.)/liliMonitor student information collection (PowerSchool, beginning of year)/liliTrack student enrollments across programs (in-person, CVA)/li/ulp6. Daily Attendance System: Assist with the management of attendance policies and procedures. Responsibilities may include, but are not limited to:/pulliEnter attendance information into the student information system in a timely manner/liliPrepare and mail attendance letters (concern, medical requirement, other) as directed by an administrator/liliTrack student absences (tardies, unlawful days, etc.)/liliPrepare attendance reports as needed/li/ulp7. Building Usage: Maintain oversight of building usage. Responsibilities may include, but are not limited to:/pulliSchedule and track room/building usage/liliMonitor reservation of shared/common spaces/liliRespond to facility concerns, inform Maintenance Department, entering tickets, assessing emergency situations/li/ulp8. School Events and Activities: Assist with the implementation of various school events and activities. Responsibilities may include, but are not limited to:/pulliMaintain building schedules and calendars/liliOrganize and prepare for events and activities/liliSchedule rooms and locations/liliPrepare event materials (name tags, certificates, badges, etc.)/liliReserve transportation for school trips/li/ulp9. Scheduling: Perform scheduling tasks for supervisors/administrators. Responsibilities may include, but are not limited to:/pulliSchedule meetings/liliSchedule teacher observations, walkthroughs, and similar activities/liliSchedule special events/liliRegister for and schedule out-of-district events/li/ulp10. Financial Responsibilities: Assist the building administrator with financial duties. Responsibilities may include, but are not limited to:/pulliMaintain building budgets, requisitions, purchase cards, and related processes/liliReconcile budgets and expenditures on a regular basis/liliCount money, make and track deposits/liliMaintain ledger accounts related to student activities/li/ulp11. General Communication: Communicate with stakeholders as required. Responsibilities may include, but are not limited to:/pulliManage faculty and staff emails, announcements, and communication/liliPrepare family and parent emails, letters, and communications/liliPrepare student emails, letters, and communications/liliCreate building newsletters, if applicable/li/ulp12. General Office / Clerical: Perform general clerical duties. Responsibilities may include, but are not limited to:/pulliCommunicate with students, families, faculty, and staff email, phone, etc./liliPrepare, open, and distribute mail and interoffice mail/liliSchedule appointments/liliPrepare, file and copy documents/liliOrder office/building materials and supplies; maintain inventories as needed/liliPlace work orders for malfunctioning equipment/li/ulp13. Student Supervision: Assist as assigned with student supervision. Examples:/pulliMonitoring students in the front office area/liliAssisting with special events or activities/li/ulp14. Position-Specific Responsibilities: Complete administrative responsibilities related to the specific positions, buildings, and/or levels. Examples:/pulliCourse selection and student scheduling/liliCoordination of / preparation for state assessments/liliWorker permits/liliCommunication/oversight of virtual instruction students/liliCoordinate and track safety drills/liliManage student special events/li/ulp15.
