About the Role

We are seeking a highly organized and proactive Office Manager / Project Manager to oversee the day-to-day operations of our Chicago office while supporting internal projects and company initiatives. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and can effectively manage both administrative and project-related responsibilities.

The successful candidate must be based in the Chicago area and willing to work from the office at least two days per week.

Key Responsibilities - Office Management

  • Oversee all day-to-day office operations and ensure the office runs smoothly and efficiently.
  • Manage office supplies, equipment, vendors, and service providers.
  • Coordinate office maintenance, repairs, and facility-related needs.
  • Organize meetings, team events, and in-office activities.
  • Maintain office policies, procedures, and operational standards.
  • Serve as the primary point of contact for office-related matters.

Project Management

  • Coordinate and track internal projects from initiation through completion.
  • Create and maintain project timelines, deliverables, and action items.
  • Facilitate communication across teams and stakeholders.
  • Monitor project progress and proactively identify potential roadblocks.
  • Prepare reports, presentations, and project updates for leadership.
  • Support process improvement initiatives and operational efficiencies.

Administrative Support

  • Assist leadership with scheduling, coordination, and special projects.
  • Manage documentation, records, and organizational systems.
  • Support onboarding and general employee experience initiatives.
  • Handle ad hoc operational and administrative responsibilities as needed.

Qualifications Required

  • 3+ years of experience in office management, project coordination, operations, or a similar role.
  • Exceptional organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Ability to work independently and take ownership of responsibilities.
  • Proficiency with Microsoft Office, Google Workspace, and project management tools.
  • Must be located in the Chicago area and willing to work in-office two days per week.

Preferred

  • Experience working in a professional services environment.
  • Legal industry experience is a plus, but not required.
  • Familiarity with project management methodologies and tools.
  • Experience supporting executives or managing cross-functional projects.
