Position Summary

\n

The Quality Assurance (QA) Manager is responsible for ensuring that products, components, materials and documentation meet expectations. This position works closely with Production, Operations, Purchasing, Product Development, and other departments to identify quality issues, prevent defects, and ensure consistent product quality from material receipt through final production.

\n

Key Responsibilities

\n

1. Technical & Analytical Documentation

\n

\n
• Review, maintain, and organize technical and quality documentation related to products and manufacturing processes.
\n
• Prepare and maintain inspection reports, quality records, testing documentation, specifications, and quality-control forms.
\n
• Review technical documents to ensure information is accurate, complete, and consistent with approved specifications.
\n
• Analyze quality data and identify trends, recurring issues, and opportunities for improvement.
\n
• Ensure quality documentation is current and properly controlled.
\n

2. AQL Sampling & Inspection

\n

\n
• Follow  Acceptable Quality Limit (AQL)sampling plans for incoming materials, components, and finished products.
\n
• Perform inspections according to approved sampling procedures and quality standards.
\n
• Document inspection results, defects, quantities inspected, and acceptance/rejection decisions.
\n
• Identify critical, major, and minor defects and ensure appropriate corrective action is taken.
\n
• Communicate inspection findings to appropriate departments and escalate significant quality concerns.
\n

3. Fill & Assembly Specifications

\n

\n
• Create and issue  fill and assembly specifications to ensure products are manufactured according to approved requirements.
\n
• Inspect fill quantities, component placement, assembly, appearance, functionality, and overall product construction.
\n
• Verify that production samples meet approved specifications before and during manufacturing.
\n
• Identify deviations from specifications and work with Contract Manufacturers to determine appropriate corrective action.
\n
• Assist with establishing and maintaining inspection criteria for new and existing products.
\n

4. Bill of Material Review

\n

\n
• Review Bills of Materials prior to production to verify that the correct materials, components, quantities, and versions are being used.
\n
• Confirm material identification, lot/batch information, and required documentation.
\n
• Identify discrepancies, damaged materials, incorrect components, or potential quality concerns before production begins.
\n
• Coordinate with Purchasing, Warehouse, Production, and other departments when material issues are identified.
\n

5. Product Sample QA

\n

\n
• Conduct quality inspections of product samples throughout the development and production process.
\n
• Evaluate samples for appearance, dimensions, functionality, workmanship, fill, assembly, labeling, packaging, and overall quality.
\n
• Compare production samples against approved reference samples, specifications, and customer requirements.
\n
• Approve, reject, or request revisions to samples based on established quality standards.
\n
• Maintain records of sample approvals and communicate required changes to relevant departments.
\n

6. Artwork Review

\n

\n
• Review product artwork, labels, packaging, and printed materials for accuracy and compliance with approved specifications.
\n
• Verify product names, descriptions, ingredients/material information, dimensions, graphics, colors, codes, warnings, instructions, and other required information.
\n
• Compare artwork proofs against approved documentation and specifications.
\n
• Identify discrepancies before artwork is released for production.
\n

\n

7. Incoming Material & Component Quality

\n

\n
• Inspect incoming components, packaging, and other materials for conformity to specifications.
\n
• Review Certificates of Analysis (COAs), Certificates of Conformance (COCs), or other supplier quality documentation when applicable.
\n
• Document and communicate non-conforming materials.
\n
• Assist with supplier quality evaluations and recurring supplier issues.
\n

8. In-Process & Final Product Inspection

\n

\n
• Perform quality inspections during on site production at contract manufacturers.
\n
• Verify that products meet approved specifications before release.
\n
• Monitor production processes for potential quality issues and deviations.
\n
• Work with contract manufacturers to identify the root cause of defects and prevent recurrence.
\n

9. Non-Conformance & Corrective Action

\n

\n
• Identify, document, and track non-conforming products, materials, and processes.
\n
• Assist with investigations into quality issues and determine root causes.
\n
• Participate in Corrective and Preventive Action (CAPA) activities when required.
\n
• Follow up on corrective actions to ensure they are properly implemented and effective.
\n
• Maintain appropriate records of quality incidents and resolutions.
\n

\n

10. Quality Standards & Procedures

\n

\n
• Ensure products and processes comply with internal quality standards, approved specifications, customer requirements, and applicable regulations.
\n
• Follow established Standard Operating Procedures (SOPs), inspection procedures, and quality-control requirements.
\n
• Assist in developing and updating SOPs, inspection procedures, checklists, and quality standards.
\n
• Recommend improvements to existing quality processes and controls.
\n

\n

11. Cross-Functional Communication

\n

\n
• Work closely with Production, Operations, Purchasing, Product Development, Warehouse, and other departments to resolve quality issues.
\n
• Participate in meetings related to new products, production issues, process changes, and quality improvements.
\n

\n

12. New Product Development & First Article Review

\n

\n
• Participate in the quality review of new products and product changes.
\n
• Review initial samples and first production runs against approved specifications.
\n
• Identify potential quality risks before products move into full-scale production.
\n
• Assist with establishing inspection criteria and acceptance standards for new products.
\n

\n

\n

13. Audits & Quality Improvement

\n

\n
• Participate in internal, supplier, and customer quality audits as required.
\n
• Assist with preparation of documentation and records for audits.
\n
• Identify opportunities to improve inspection methods, processes, and product quality.
\n
• Track recurring defects and recommend preventive measures.
\n
• Support continuous improvement initiatives within the organization.
\n

14. Quality Records

\n

\n
• Maintain accurate and organized inspection, testing, approval, and non-conformance records.
\n
• Verify that required quality records are completed accurately and retained according to company procedures.
\n

\n

15. Additional QA Responsibilities

\n

\n
• Be on site at contract manufacturers during production filling.
\n
• Maintain a high level of attention to detail when reviewing products, documents, and specifications.
\n
• Ensure quality concerns are identified and communicated before they impact customers or production schedules.
\n
• Assist with training employees on quality requirements and inspection procedures when needed.
\n
• Stay current with company quality procedures, industry standards, and applicable regulatory requirements.
\n
• Perform other quality-related duties and special projects as assigned.
\n

Qualifications & Skills

\n

\n
• Previous experience in Quality Assurance, Quality Control, manufacturing, production, or a related field.
\n
• Strong attention to detail and ability to identify discrepancies and defects.
\n
• Strong analytical and problem-solving skills.
\n
• Ability to read and interpret technical specifications, drawings, artwork, procedures, and production documentation.
\n
• Knowledge of AQL sampling and inspection methodologies.
\n
• Strong written and verbal communication skills.
\n
• Ability to maintain accurate and detailed records.
\n
• Ability to work independently as well as collaboratively with multiple departments.
\n
• Proficiency with Microsoft Office, particularly Excel and Word.
\n
• Ability to prioritize multiple projects and meet deadlines.
\n
• Strong organizational skills and follow-through.
\n

Preferred Qualifications

\n

\n
• Experience with manufacturing quality systems and inspection procedures.
\n
• Familiarity with ISO or other applicable quality-management standards.
\n
• Experience reviewing packaging, labeling, artwork, or product specifications.
\n
• Experience working with suppliers and incoming material inspections.
\n
• Knowledge of statistical sampling and basic quality metrics.
\n
