Insurance Administrator – Commercial Real Estate

Location: West Palm Beach, FL (On-Site)

A growing commercial real estate company is seeking an Insurance Administrator to join its Risk Management team. This role is responsible for insurance compliance, certificate tracking, claims administration, and supporting risk management initiatives across a national portfolio of commercial properties.

Responsibilities:

• Monitor insurance certificate expirations for tenants, vendors, and properties.
• Obtain, review, and maintain Certificates of Insurance (COIs).
• Ensure insurance compliance with lease and contract requirements.
• Coordinate with property managers, lease administration teams, tenants, contractors, insurance carriers, and legal counsel.
• Assist with insurance claims administration, claim submissions, and documentation.
• Track claims activity, litigation timelines, and related correspondence.
• Maintain insurance records, claims files, reports, and spreadsheets.
• Prepare hold harmless and indemnification agreements.
• Assist with risk management projects and special assignments.
• Support management with insurance compliance and portfolio-related matters.

Schedule: Monday through Friday, standard business hours. Fully on-site.

Compensation: Competitive salary based on experience (75k-95k), plus benefits package.

Qualifications:

• 3+ years of experience in commercial real estate insurance administration, commercial lines insurance, property administration, property management, or insurance claims support.
• Understanding of commercial lease insurance requirements and compliance procedures.
• Experience reviewing and managing Certificates of Insurance.
• Strong organizational, communication, and time management skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Excel, Outlook, Word, and Adobe Acrobat.
• Experience with Yardi or similar property management software is preferred.
• Multi-state commercial real estate experience is a plus.

• At least 3 years of experience in lease administration, commercial real estate insurance administration, property management, or claims support.
• Working knowledge of lease terms, insurance compliance standards, and certificate of insurance review processes.
• Ability to interpret leases and contracts with close attention to insurance and risk-related requirements.
• Strong organizational skills with the ability to handle competing deadlines and maintain accurate records.
• Strong written and verbal communication skills for interacting with tenants, vendors, contractors, and internal stakeholders.
• Proficiency with Microsoft Excel, Outlook, Word, and Adobe Acrobat.
• Experience with Yardi or comparable property management systems is preferred.
• Exposure to multi-state commercial real estate operations is a plus.
