Executive Administrator for the Chancellor's Office

Salary: $100,000.00 - $140,000.00 Annually Location : Auburn Hills Campus Job Type: Full-Time Job Number: 202400318 Division: Chancellor's Office Opening Date: 07/07/2026 Closing Date: 7/19/2026 11:59 PM Eastern Max Number of Applicants: 50 Shift Days/Hours: Monday - Friday, 8:30am - 5:00pm: *Occasional evening/weekend hours will be required Summary of Purpose The Executive Administrator provides high-level administrative, operational and strategic support to the Chancellor. This role serves as a trusted partner in supporting institutional initiatives, coordinating complex schedules, and facilitating communication with internal and external constituents. While maintaining high confidentiality this role contributes to the mission and values of the institution fostering collaboration across the organization. This position is expected to work in a multi-cultural diverse working environment. This is an in - person position. Typical Duties This description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title. It is not intended to be an exhaustive list of all the duties and responsibilities that may be required: Monitors assignments the Chancellor delegates to Executive Leadership Team members and other staff members; facilitates timely completion to meet deadlines. Supervises and manages Chancellor's Office support staff. Provides project management support including providing guidance on projects of high importance. Attends Executive and Administrative Leadership meetings; follows up on action items assigned to staff Manages Office of the Chancellor assuring seamless functioning and operations of day-to-day duties. Serves as Chancellor's liaison with the Executive and Administrative Leadership teams and Office of the Chancellor. Works with Director of Budget and Financial Planning to create annual budgets for the Chancellor's Office and the Board of Trustees. Composes presentations correspondence independently on behalf of the Chancellor and/or for the Chancellor's approval on a wide variety of matters including material of a sensitive and confidential nature. Plans and manages board and committee meetings including, but not limited to, preparing an agenda under the guidance of the Chancellor, providing staff support, assisting in preparation of items for board action, distribution of documents, recording minutes, and maintaining official records. Ensures compliance with legal requirements (i.e., public open meeting and records laws). Facilitates flow of information between the Chancellor and Board of Trustees including, but not limited to, relaying communications and information from the Chancellor, notifying Trustees of OCC events and happenings, weekly/monthly MCCA updates, relaying information from other pertinent organizations, and any other communications necessary to be forwarded to the Board or to the Chancellor on behalf of the Board. Assists with board development and orientation of new board members, coordinating ongoing education of board members ,coordinating board retreats and other events, and working with board leadership and the Chancellor to provide other development activities. Reviews expense reports for Chancellor and Board of Trustees. Participates and/or represents Chancellor's Office at key constituent events or meetings. Also ensures appropriate and responsive follow-up and accountability; facilitates resolution of matters requiring Chancellor's attention. Coordinates and oversees employee participation in external leadership programs (i.e. Leadership Oakland, MCCA Leadership Academy, DEC Young Leaders). Performs other related duties as required and deemed appropriate in support of the Chancellor to accomplish assigned responsibilities and functions of the office. Knowledge and Skills Required Advanced knowledge of Microsoft Office Suite(Outlook, Word, Excel, Powerpoint, Teams) as well as internal software and platforms. Team building skills with the ability to develop and supervise staff. Strong written and verbal communication skills with the proven ability to problem solve in a senior level administrative role within a dynamic environment. Effective in moving strategic agendas; be politically perceptive and ensure the utmost discretion and confidentiality in all matters. Excellent interpersonal skills with ability to build relationships of trust and work collaboratively with diverse internal and external constituents. Knowledge of accounting principles and procedures. Ability to work independently, exercise sound judgement and make decisions within delegated authority. Ability to prioritize work, familiarity with project management methodologies and continuous improvement practices. Minimum Education and Experience EDUCATION: Bachelor's degree, Master's degree preferred EXPERIENCE: Eight(8) or more years' successful work experience in progressively more responsible administrative roles supporting a senior level executive in a not-for-profit, higher education, business, or government work environment. Experience supporting strategic initiatives, projects and organizational planning. Work experience with Board members and elected officials required.
