POSITION SUMMARY The Director of Safety & Security provides strategic leadership for all aspects of the Club's security, safety, emergency preparedness, gate operations, and security technology. This position is responsible for protecting the Club's members, guests, employees, homes, facilities, and assets while ensuring security operations support Birnam Wood's commitment to exceptional service, professionalism, and operational excellence. As a member of the Club's leadership team, the Director works collaboratively with members, homeowners, employees, contractors, public safety agencies, and fellow department heads to create a safe, welcoming, and well-managed community. The Director is responsible for building a highly engaged team, fostering a culture of accountability and continuous improvement, and ensuring the department remains proactive, visible, and responsive to the evolving needs of the Club. The Director of Safety & Security also serves as the Club's primary leader for technology, information systems, and security, working closely with the Club's managed IT service provider and overseeing security systems, access control, surveillance, communications, and technology initiatives that enhance both security and operational efficiency. AREAS OF RESPONSIBILITY Department Leadership & Employee Development Security Operations & Risk Management Member, Guest & Employee Safety Emergency Preparedness & Incident Response Gatehouse Operations & Access Control Community & Perimeter Security Construction Access & Contractor Management Information Technology, Security & Systems Safety Programs & Regulatory Compliance Investigations & Incident Documentation Budget Development & Financial Stewardship Interdepartmental Collaboration & Member Relations ESSENTIAL DUTIES & RESPONSIBILITIES 1. Leadership & Department Management Provide strategic leadership for the Security Department and establish a culture of professionalism, accountability, teamwork, and continuous improvement. Recruit, hire, train, coach, mentor, and evaluate Security Officers. Foster a positive work environment that promotes engagement, teamwork, accountability, and high morale. Establish clear performance expectations and hold employees accountable to Club standards. Develop work schedules that provide appropriate staffing while meeting operational needs. Conduct regular department meetings, one-on-one coaching sessions, performance evaluations, and field observations. Identify future leaders within the department and provide opportunities for professional growth. 2. Security Operations Direct 24/7 security operations, protecting members, guests, employees, facilities, homes, and Club assets. Develop and maintain security policies, procedures, and emergency response plans. Oversee patrol operations and gatehouse operations. Coordinate security for Club events and special functions. Conduct investigations involving accidents, incidents, policy violations, and criminal activity. Coordinate with local law enforcement and emergency response agencies. 3. Technology, Innovation & Information Systems Serve as the Club's primary liaison with its managed IT service provider. Oversee access control systems, surveillance cameras, visitor management software, radios, emergency communications, gate technology, and other security-related systems. Coordinate technology projects with outside vendors and internal departments. Evaluate emerging technologies that improve operational efficiency, member service, and security. Support cybersecurity awareness and technology best practices throughout the Club. Recommend technology investments that improve the Club's operations. 4. Member Safety & Community Relations Build positive relationships with members, homeowners, and guests. Support a welcoming arrival experience while maintaining appropriate security standards. Resolve member concerns professionally and work collaboratively with all departments. Support the Club's service culture. 5. Safety & Emergency Preparedness The Director of Safety & Security is responsible for developing, implementing, and maintaining comprehensive safety and emergency preparedness programs that protect the Club's members, guests, employees, facilities, and community while ensuring compliance with all applicable regulatory requirements. Safety Programs Serve as the Club's designated Safety Officer. Develop, implement, and maintain the Injury & Illness Prevention Program (IIPP), Heat Illness Prevention Plan (HIPP), Workplace Violence Prevention Plan (WVPP), and other required safety programs. Emergency Preparedness Develop, maintain, and regularly update the Club's Emergency Response Plan. Coordinate emergency response procedures for fire, medical emergencies, severe weather, natural disasters, security incidents, and other critical events. Risk Management Investigate workplace accidents, injuries, security incidents, and property damage, ensuring timely documentation and follow-up. Partner with Human Resources on workers' compensation matters, workplace safety initiatives, and accident prevention programs. Training & Compliance Ensure all Security Officers receive ongoing training in emergency response, first aid, CPR/AED, de-escalation, fire safety, and other required certifications. Ensure compliance with applicable OSHA, Cal/OSHA, and other federal, state, and local safety regulations. Conduct routine safety inspections throughout the Club and coordinate corrective actions when necessary. Conduct emergency drills, tabletop exercises, and training to ensure employee preparedness. Serve as the incident leader during emergency situations and coordinate response efforts with public safety agencies. Identify operational risks and implement proactive measures to reduce potential liability and improve overall safety. Prepare incident reports and recommend corrective actions to prevent future occurrences. Promote a culture of safety by providing education and guidance to employees across all departments. Maintain accurate safety records, training documentation, and regulatory compliance files. 6. Administrative & Organizational Leadership Develop and manage the department's annual operating and capital budgets while maintaining fiscal responsibility. Prepare reports, recommendations, and operational updates for the General Manager, Board of Directors, and Club committees. Serve as the management representative to the Architectural & Landscape Committee, providing oversight of construction activity, homeowner compliance, and security-related matters. Serve as the department liaison to the Homeowners Committee, working closely with the Committee Chair and General Manager to support community initiatives and homeowner relations. Oversee construction access, contractor compliance, and project documentation for all homeowner construction activity. Administer and continually improve DwellingLive, access control systems, transponder programs, and visitor management processes. Coordinate with vendors, contractors, consultants, and outside agencies to support departmental operations and strategic initiatives. Maintain accurate departmental records, incident reports, permits, construction files, and other operational documentation. IDEAL CANDIDATE PROFILE The ideal candidate is a proven leader who is passionate about developing people, embracing technology, and delivering exceptional service while maintaining a safe and secure environment. PREFERRED QUALIFICATIONS Minimum of five (5) years of progressive leadership experience in hospitality, private clubs, luxury hotels, resorts, high-end residential communities, or other service-focused organizations. Demonstrated success leading, developing, and motivating high-performing teams. Experience managing department operations, budgets, and strategic initiatives. Strong understanding of technology, including managed IT environments, access control systems, surveillance systems, visitor management software, and other security-related technologies. Excellent leadership, communication, organizational, and interpersonal skills. Proven ability to build strong working relationships with members, employees, homeowners, contractors, and public safety agencies. Sound judgment, professionalism, and the ability to make effective decisions in dynamic situations. Experience in security, public safety, law enforcement, military service, emergency management, or related fields is highly desirable. Relevant professional certifications (ASIS CPP, PSP, OSHA, CPR/AED, or similar) are preferred but not required. Valid California Driver's License with an acceptable driving record. PHYSICAL REQUIREMENTS Ability to walk, stand, and patrol Club property for extended periods. Ability to respond to emergency situations at any time, including evenings, weekends, holidays, and during inclement weather. Ability to lift and carry up to 30 pounds. Ability to safely operate Club vehicles and other equipment as required. Ability to work in both indoor and outdoor environments in varying weather conditions.
