Office Manager/Bookkeeper

We are seeking an organized, detail-oriented Office Manager / Property Management Coordinator to help oversee the day-to-day administrative and financial operations of the company.

Responsibilities

Accounting & Financial Administration

  • Process tenant rent payments and owner disbursements
  • Manage accounts payable and accounts receivable
  • Monitor tenant balances and assist with rent collections
  • Perform monthly bank reconciliations
  • Maintain accurate financial records within AppFolio
  • Assist with preparation of owner statements and financial reports
  • Track vendor invoices and company expenses
Property Management Support
  • Maintain tenant, owner, lease, and property records in AppFolio
  • Assist with lease administration and renewals
  • Coordinate maintenance requests and vendor scheduling
  • Support move-in and move-out processes
  • Communicate with tenants, owners, and vendors regarding property-related matters
Office Administration
  • Answer incoming calls and respond to emails
  • Maintain electronic and physical filing systems
  • Assist with scheduling appointments and coordinating office operations
  • Prepare documents, correspondence, and reports
  • Support company leadership with administrative projects as needed
Marketing Support
  • Maintain online rental listings
  • Assist with property marketing and leasing materials
  • Coordinate listing updates and promotional efforts
QualificationsRequired
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Basic bookkeeping or accounting knowledge
  • Professional phone and customer service skills
  • Ability to manage multiple priorities and meet deadlines
  • Ability to work independently and take initiative
Preferred
  • Experience with AppFolio or other property management software
  • Experience in property management, real estate, bookkeeping, or office administration
  • Associate's or Bachelor's Degree preferred
