Business Manager Position Title: Business Manager Location: Villanova, PA Position Type: Staff, Full-time (12 months) Department: 146-Theatre Posting Number: 20260072S Overview The Business Manager assists in developing and implementing the Villanova Theatre and Studio Department’s performance and departmental operating budgets in accordance with the University’s accounting policies and procedures. This position is responsible for budget creation, expense tracking for each theatre performance, day‑to‑day accounting, purchasing, credit‑card handling, payroll processing, deposits, reimbursements, and monthly financial reviews. The Business Manager works closely with the Finance Leadership Team in the College of Liberal Arts and Science, provides quarterly financial updates and reconciliation reports, and supports the VTD leadership team in strategic and analytical matters. Duties and Responsibilities Budget Management Create, direct, maintain, and reconcile theatre budgets, ensuring adherence to timelines. Enhance budget analysis capabilities using Banner, Novasis, Concur, and Kronos to prepare accurate monthly financial analysis, journal entries, account reconciliations, and variance analysis. Production Budgets Collaborate with show directors to manage each production budget separately, allocating funds for costumes, props, etc. Maintain a shared‑cost record for each show. Provide department chair with budget details per show as requested. Operating Budgets Coordinate with the VTD Chairperson to prepare budgets, forecasts, operating results, and sales metrics for long‑range financial planning. Oversee Capstone and Thesis budget approval and professional development funding. Hiring and Accounting Create and submit contracts into the SIRION system; manage honorariums, supplemental pay, timesheet and work hours accounting for contractors, temporary employees, and work‑study. Oversee VST and VSMT budgeting processes. Theatre Department Budget and Financial Communication Serve as liaison for all theatre staff regarding budgetary processes, invoices, expenses, purchase orders, reimbursements, and Concur/NovaBuy issues. Execute administrative tasks related to VTD production and operating budgets. Participate in production meetings for VTD, VST, and VSMT. Communicate with theatre endowment/donors regarding annual disbursement. External Communication Obtain, analyze, and utilize external information for budget development. Serve as VTD’s budgetary liaison to Mullen Center Box Office administration. Consult on external funding requests and manage billing, revenue reconciliations. Other Perform additional duties and assist with projects as assigned. Minimum Qualifications Formal Education Bachelor’s degree in Theatre Management, Administration, Accounting, Finance, or related field, and/or 5+ years of related professional theatre or arts budget management experience. Work Experience Relevant financial management experience in a non‑profit or higher‑education environment. Work Skills Excellent communicator in an academic environment; able to instruct, supervise, and explain complex financial information to diverse audiences. Proficient in advanced spreadsheets and data analysis tools. Able to lead an arts organization through complex budgeting processes with multiple deadlines. Maintain confidentiality of departmental information and adhere to university standards. Specific Job Knowledge Highly proficient in Microsoft Office Suite (Excel, Word, Outlook), financial accounting systems, PMS, and POS. Knowledgeable in all areas of accounting from A/P, A/R, general ledger, credit, collections, audit, inventory control, payroll, budgeting, costing, P&L preparation and analysis. Equipment Knowledge Basic office equipment (computer, copier, phone). Preferred Qualifications Formal Education MBA or Master’s in Theatre Administration, Theatre Management, or Finance. Work Experience 3–5 years of relevant financial management experience in non‑profit or higher‑education environment. Work Skills Excellent customer service skills and proven ability to develop and sustain productive relationships. Specific Job Knowledge Experience with theatre management/arts administration or nonprofit creative arts background. Experience with Villanova University financial systems (Banner, Novasis, Concur, Salesforce, SIRION, Kronos). Physical Requirements No special physical requirements listed.
