Office Manager

Gestalt Associates

Gestalt Columbus is a tenured psychotherapy practice dedicated to providing exceptional and impactful mental health support for adults, couples, families, children, and adolescents. In addition to individual and group clinical mental health counseling, our practice regularly offers community education, professional workshops, supervision and training from a Gestalt perspective. Role Description The Office Manager serves as the operational hub of the practice and plays a critical role in supporting our clinicians, clients, and leadership team. This individual is often the first point of contact for prospective clients and is responsible for ensuring that day-to-day operations run smoothly and efficiently. This role manages reception duties, client intake coordination, scheduling of appointments and workshops, maintains HIPAA compliant office records, and coordinates communication between staff, clients, and external partners. Additional responsibilities include basic billing and bookkeeping processes, updating contact and mailing lists, management of marketing emails, light design work in Canva and overseeing office equipment and supplies. Desired Qualifications Experience in office management, healthcare administration, or related field. Previous experience in a mental health, healthcare, or medical office strongly preferred. Exceptional organizational and project management skills. Strong written and verbal communication abilities. Ability to prioritize multiple responsibilities and deadlines. Demonstrated ability to work independently and proactively. Strong attention to detail and follow-through. Professional, warm, and client-centered demeanor. High level of discretion and ability to maintain confidentiality. Ideal candidates have experience with the following systems: Basecamp or similar project management software Canva WordPress or Squarespace Mailchimp or similar email marketing platforms #J-18808-Ljbffr
