Construction Administrative Assistant

We are looking for a highly organized and dependable Construction Administrative to support the daily operations of a growing construction and real estate business in Coral Gables, FL.

This position is ideal for someone who has experience with vendor coordination, construction administration, bookkeeping, and project follow-up . The right candidate should be comfortable working in an office environment while also helping coordinate the day-to-day needs of active construction projects.

Responsibilities

  • Track project expenses and assist with job-cost reporting
  • Request budgets, estimates, and proposals from vendors and subcontractors
  • Follow up with subcontractors, suppliers, inspectors, and project contacts
  • Order materials and coordinate deliveries when needed
  • Assist with scheduling and following up on inspections
  • Maintain organized records for permits, invoices, contracts, receipts, and project documents
  • Help track project progress, deadlines, and pending items
  • Communicate professionally with vendors, subcontractors, clients, and team members
  • Support general office administration as needed
  • Handle bookkeeping tasks
  • Enter bills, payments, invoices, and vendor information
  • Create and maintain simple financial reports

Qualifications

  • Construction office, contractor, or real estate experience preferred
  • Strong organizational and follow-up skills
  • Ability to manage multiple tasks and deadlines
  • Comfortable communicating by phone, email, and text
  • Basic understanding of construction projects, budgets, invoices, and vendors
  • Good computer skills, including email, spreadsheets, and document management
  • Reliable, detail-oriented, and proactive
  • Experience with QuickBooks desired, not required
  • Bookkeeping experience desired, not required
  • Bilingual English/Spanish

Ideal Candidate

The ideal candidate is someone who can help keep the office, vendors, materials, inspections, and project follow-ups organized. This person should be responsible, practical, and able to take initiative without needing constant supervision.

Compensation

This position pays $23 to $31 per hour , depending on experience. Paid vacation is included.
