Administrative Assistant

Ascendo

We're looking for a proactive and detail-oriented Administrative Assistant to become the backbone of daily office operations. This role is ideal for someone who takes pride in organization, communication, and multitasking, and is comfortable juggling a variety of administrative tasks in a fast-paced environment.

Key Responsibilities:
  • Answer and screen phone calls, relay messages, and direct inquiries appropriately
  • Welcome and assist visitors and customers with professionalism
  • Schedule meetings, conference rooms, and travel arrangements
  • Organize and maintain files, documents, and spreadsheets
  • Merge documents for bulk mailings and manage all incoming/outgoing mail
  • Keep kitchen, breakroom, and conference rooms clean and stocked
  • Order and monitor office supplies
  • Coordinate office events and maintain the facility space map
  • Serve as the point of contact with building management
  • Prepare and manage city license applications and related payments
  • Assist with new customer onboarding processes
  • Maintain appointment calendars and internal systems like Fenix and call logs
  • Ensure adherence to office procedures and building security protocols
Requirements:
  • Bilingual in English and Portuguese (required)
  • Strong organizational and communication skills
  • Comfortable working independently and in a team setting
  • Proficiency with Microsoft Office and standard office technology
