We’re seeking an exceptional Executive Assistant & Sales Operations Coordinator to support our Managing Partner, an executive with more than 30 years of experience, and help keep our sales team organized and effective.

The Role

You will help the Managing Partner make the best use of his time by managing priorities, coordinating communications, and ensuring commitments turn into completed actions. You’ll also support sales activity through accurate CRM records, timely reporting, and coordination with the broader team.

The right person anticipates what needs to happen, takes initiative, and follows through. You enjoy bringing structure to a busy day, communicating with people, and keeping details from falling through the cracks.

Key Responsibilities
Executive Support

· Manage the Managing Partner’s calendar, prioritize requests, and coordinate internal and external meetings.

· Prepare meeting agendas and materials, capture key decisions and action items, and track follow-up through completion.

· Draft and edit emails, proposals, presentations, and other business communications.

· Coordinate travel arrangements and itineraries, with occasional business travel as needed.

· Handle sensitive investor, company, and personal information with discretion.

Sales Support and Operations

· Maintain accurate, current CRM records, including contacts, opportunities, meeting notes, and next steps.

· Coordinate investor meetings and follow-up, helping the Managing Partner and sales team stay on top of commitments.

· Prepare daily and ad hoc sales reports and pipeline summaries.

· Work closely with sales operations to keep information accurate and workflows moving.

· Identify opportunities to simplify recurring tasks and improve processes.

· Use AI tools thoughtfully to support research, summarize information, draft content, and improve efficiency while protecting confidential information.

What You Bring

· Relevant experience in executive assistance, sales support, operations, or a similar role.

· Excellent organization, attention to detail, and the ability to manage competing priorities.

· Strong written and verbal communication skills and confidence interacting with executives, investors, and colleagues.

· Sound judgment, professionalism, and discretion.

· A proactive approach: you anticipate needs, solve problems, and take ownership of follow-through.

· Proficiency with Microsoft Office, Google Workspace, and CRM software.

· Demonstrated experience using AI tools in everyday business workflows.

· Ability to work in person in Boca Raton during our typical office hours of 7:30 a.m.–3:30 p.m.

Experience in financial services, venture capital, or supporting a sales leader is a plus.
