Certified Payroll CoordinatorThe Certified Payroll Coordinator, officially titled Prevailing Wage Coordinator, ensures accurate and compliant certified payroll reporting across multiple projects. This role focuses on generating, reconciling, and troubleshooting payroll reports, maintaining prevailing wage compliance, and providing exceptional service to internal teams and subcontractors in a fast-paced, deadline-driven environment.ResponsibilitiesGenerate, format, and analyze certified payroll and prevailing wage reports using SAP, ServiceNow, LCPtracker, and other software applications.Reconcile and troubleshoot certified payroll reporting errors to ensure accuracy and compliance with federal and state regulations.Enter payroll and related data through manual entry or file uploads into various systems, maintaining data integrity and completeness.Use SAP to pull payroll information, report craft hours, and maintain records that demonstrate compliance with applicable wage and labor regulations.Monitor subcontractor submissions to ensure weekly certified payroll reports are received on time and in full compliance with prevailing wage requirements.Contact subcontractors to address missing or non-compliant submissions and guide them in following their regulatory obligations.Coordinate weekly assignments and manage multiple projects at a time, meeting deadlines and performance metrics without relying on a centralized queue.Provide excellent customer service to internal and external stakeholders, including field personnel, by responding to inquiries and resolving issues via email and other communication channels.Develop and maintain effective working relationships with individuals at all levels of company management and across various departments.Work closely with subcontractors and internal teams to set up, maintain, and improve weekly certified payroll submission processes.Communicate clearly and professionally when addressing compliance issues, including having difficult conversations about non-compliance.Support efforts to reduce backlogs and help the team get current on outstanding certified payroll and compliance tasks.Essential SkillsAt least 1 year of experience in a professional office-based role such as banking, human resources, accounting, payroll, or similar administrative work.Strong communication skills, with the ability to interact professionally with internal teams, field staff, and subcontractors.High level of reliability and accountability, consistently meeting deadlines and commitments.Self-motivated work style with the ability to perform effectively without micromanagement.Proven experience working in a fast-paced environment while managing multiple priorities and projects.Ability to conduct tough conversations regarding non-compliance and to clearly explain regulatory and reporting expectations.High school diploma required.Basic understanding of HR-related regulations and compliance concepts.Time management skills to organize weekly assignments and handle several projects concurrently.Additional Skills & QualificationsExperience with prevailing wage requirements and certified payroll processes.Background in accounting, back-office operations, or banking is highly valued.Familiarity with union benefits and payroll data processing.Experience submitting certified payroll reports in a construction or similar environment.Comfort working with compliance-related activities and regulatory documentation.Exposure to systems such as SAP, ServiceNow, and LCPtracker or similar payroll/reporting platforms.Interest in ongoing professional development supported by employer-sponsored training and tuition reimbursement.Work EnvironmentThis role operates in a professional office environment with an 8-hour shift scheduled between 7:00 a.m. and 6:00 p.m., offering some flexibility within that window. After approximately 90 days, the position transitions to a hybrid schedule that blends in-office and remote work. The work is primarily computer-based, using tools such as SAP, ServiceNow, and LCPtracker to manage payroll and compliance data. The environment is fast-paced, with weekly project assignments and performance metrics tied to timely and accurate reporting rather than a centralized ticket queue. Team members collaborate with management, HR, accounting, and field staff, and communicate frequently via email and other office communication tools.
