Payroll Administrator, Part-TimeWorkplace Type: Primarily remote, with occasional on-site presence as neededReports To: Director of FinancePosition SummaryThe Payroll Administrator is responsible for the accurate and timely processing of payroll for a workforce that includes full-time salaried employees and a high volume of part-time, hourly, and seasonal employees across multiple sites, pay rates, and funding sources.This is a hands-on, detail-oriented position for an experienced payroll professional who can work independently, consistently meet deadlines, and handle confidential employee information with discretion.This is not an entry-level or training position. The successful candidate must have previous end-to-end payroll processing experience and demonstrated proficiency with ADP Workforce Now and payroll integration file uploads into QuickBooks Online.Key ResponsibilitiesPayroll ProcessingProcess biweekly payroll in ADP, including timekeeping review, payroll funding, and post-payroll reporting.Review and reconcile employee timecards.Follow up with supervisors regarding missing punches, unapproved time, and scheduling discrepancies before payroll deadlines.Administer pay changes, new hires, terminations, final pay, retroactive adjustments, and off-cycle payments in accordance with applicable wage and hour laws.Maintain accurate employee records in ADP, including tax withholdings, direct deposit information, wage garnishments, and deduction elections.Track and apply paid leave accruals and usage in accordance with organizational policies and applicable state requirements.Compliance and ReportingEnsure payroll practices comply with federal and state wage and hour regulations, including overtime, minimum wage, minor labor requirements, and recordkeeping obligations.Coordinate quarterly and annual filings, W-2 production, and ACA reporting through ADP.Support workers' compensation audits, retirement plan census and testing activities, and annual financial audits by preparing requested payroll schedules and documentation.Reconcile payroll activity to the general ledger.Support the allocation of labor costs across programs, locations, and grant-funded budgets.Records and Employee SupportMaintain complete, organized, and confidential payroll records in accordance with applicable retention requirements.Respond to employee payroll questions promptly and professionally.Complete employment and wage verifications.Prepare responses to unemployment claims.Partner with leadership on payroll-related onboarding and offboarding activities, including I-9 completion and new hire reporting.Identify and recommend process improvements that reduce errors, manual work, and payroll cycle time.Required QualificationsMinimum of three years of hands-on payroll processing experience, including full-cycle responsibility for a multi-employee payroll.Demonstrated proficiency with ADP. Candidates should be prepared to discuss the specific ADP modules and workflows they have used.Working knowledge of federal and Connecticut payroll tax, wage and hour, and leave regulations.Strong Excel skills, including the ability to create and reconcile payroll reports.Proven ability to maintain accuracy while working under recurring, non-negotiable deadlines.Ability to handle confidential compensation and personnel information with absolute discretion.Ability to work independently in a remote environment with minimal supervision.Availability and responsiveness during core business hours on payroll processing days.Ability to successfully complete a comprehensive background screening, including criminal history and applicable registry checks.Preferred QualificationsPayroll experience in a nonprofit environment, particularly involving grant-funded positions and labor cost allocation across multiple funding sources.Experience processing payroll for a large part-time, hourly, or seasonal workforce.Familiarity with 403(b) retirement plan administration and nonprofit audit support.Fundamental Payroll Certification, FPC, or Certified Payroll Professional, CPP, designation.Schedule and Work EnvironmentHours are flexible within the business week, with availability structured around the payroll calendar and established payroll deadlines.Work is performed primarily remotely. Occasional on-site attendance may be required for onboarding documentation, records access, or periodic meetings. The employee must have reliable internet access and a secure, private workspace suitable for handling confidential payroll and personnel information.Job Type & LocationThis is a Contract to Hire position based out of Stamford, CT.Pay and BenefitsThe pay range for this position is $35.00 - $35.00/hr.Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
