We are looking for a detail-oriented Medical Scheduler to support outpatient behavioral health operations. This Long-term Contract position is fully onsite and plays a key role in coordinating appointments, assisting patients, and ensuring administrative processes run smoothly. The person in this role will serve as an important connection point between patients, clinical staff, and office operations while maintaining accuracy, discretion, and a detail-oriented approach.

Responsibilities:

• Coordinate patient appointments with accuracy and professionalism while helping maintain efficient daily clinic flow.

• Review scheduling documents, service records, and related materials to confirm completeness and resolve discrepancies promptly.

• Enter, update, and correct appointment and patient-related information within electronic scheduling systems and department records.

• Monitor upcoming calendars for conflicts, inconsistencies, or missing details and communicate issues to the appropriate staff members.

• Prepare, print, and share daily schedules and supporting materials with clinicians and team members as needed.

• Assist with patient communication by answering calls, routing inquiries appropriately, and providing scheduling support in a courteous manner.

• Maintain organized files, logs, reports, and databases to support department operations and accurate recordkeeping.

• Provide general administrative support such as preparing correspondence, filing documents, photocopying, and distributing office materials.

• Support intake, transfer, or access-related coordination duties as assigned and help distribute initial patient paperwork to the care team.

• Uphold confidentiality standards and complete required training, health, and compliance activities for the department

• At least 3 years of clerical or administrative experience, including a minimum of 1 year focused on receptionist duties and/or appointment scheduling.
• Demonstrated experience scheduling patient visits and accurately working with patient demographic information.
• Proficiency with Microsoft Office applications, with strong working knowledge of Microsoft Access.
• High attention to detail with the ability to manage data entry, documentation review, and record maintenance accurately.
• Strong verbal and written communication skills with the ability to interact professionally with patients, staff, and external contacts.
• Ability to balance multiple priorities in a fast-paced office environment while maintaining organization and service quality.
• Commitment to handling sensitive patient and organizational information with discretion and confidentiality.
• Availability to work onsite Monday through Friday on a 37-hour workweek schedule and attend required onsite training before transitioning to the regular schedule.
