Position Summary

The Center for Recovery Services Coordinator provides day-to-day support for the office and administrative functions of the Recovery Program, including serving as the first point of contact for new clients with a primary diagnosis of substance use disorder, and provide direct client support including individual and group counseling, transportation support, and other planned interventions while delivering direct client services aligned with individualized treatment plans.

This is a full-time, non-exempt position with general office hours Monday through Friday, 8:30 a.m. – 5:00 p.m., including a 30-minute unpaid meal period, in accordance with Oregon labor law. Some duties require community-based work, including client transport and off-site service delivery.

Key Responsibilities

Administrative and Office Duties

• Serve as a trauma‑informed, welcoming first point of contact for clients and visitors, including answering phones, greeting clients, checking clients in for appointments, and maintaining an inclusive, respectful environment.
• Verify, update, and maintain accurate client demographic, insurance, and payment information in the electronic medical record (EMR).
• Educate clients about payment options for Recovery Services, including potential Oregon Health Plan (OHP) eligibility, and refer clients to the Outpatient Administrative Specialist for enrollment assistance as needed.
• Schedule and track client assessments and required updates; coordinate with clinical staff to support timely documentation and submission.

• Ensure clinical records, episodes, assignments, and closures are accurately entered in the EMR, including conducting periodic file health and completeness reviews.
• Maintain current Releases of Information and ensure compliance with documentation and reporting requirements, including MOTS and required status reports.
• Support team meetings by ensuring client updates and care coordination decisions are properly documented.
• Coordinate billing-related documentation and support timely submission to the SLMH billing department.
• Maintain office operations, including inventory and ordering of supplies, petty cash management, equipment upkeep, and ensuring shared spaces are safe, welcoming, and functional.
• Represent the Center for Recovery Services in interagency meetings and collaborative efforts as directed by SUDs program leadership.

Peer Support and Direct Client Services

• Provide initial brief screening assessments for new SUD clients.
• Deliver peer support, recovery coaching, and skills-based interventions that promote recovery, autonomy, and self-direction.
• Provide individual and group skills development sessions consistent with ethical scope and credentialing.
• Support clients in developing and practicing alternatives to substance use, in coordination with the client’s primary counselor and care team.

• Assist clients in navigating community-based needs, including providing transportation support as identified in treatment plans.
• Apply evidence-informed, harm reduction–oriented approaches tailored to each client’s goals, readiness, and lived experience.
• Monitor client progress, adjust interventions as appropriate, and contribute to collaborative treatment planning and reassessment.
• Participate in complex case reviews and coordinate care with multidisciplinary SUDs team members.
• Provide services consistently through a trauma‑informed, respectful, and culturally responsive lens.
• Act as a liaison with community partners and internal teams as assigned.

Administrative, Ethical, and Professional Standards

• Maintain strict confidentiality in compliance with HIPAA and 42 CFR Part 2 .

• Complete all required documentation, including progress notes, group notes, and assessments, accurately and within required timelines.
• Meet productivity, attendance, and dependability expectations as outlined by the SUDs Program Manager.
• Participate in supervision, staff meetings, training, and quality assurance activities.
• Engage in continuing education and ongoing professional development.
• Positively represent South Lane Mental Health in the community and with partner organizations.
• Perform all duties ethically, professionally, and in alignment with agency values and policies.

Qualifications

Education & Experience

• Oregon-registered Certified Alcohol and Drug Counselor (CADC) or Certified Recovery Mentor (CRM) required.
• Bachelor’s degree in social services, behavioral health, or a related field OR a minimum of three (3) years of professional experience in mental health or substance use disorder services.
• Valid Oregon driver’s license, acceptable driving record, and ability to pass a criminal background check, as required by law.

Skills & Competencies

• Working knowledge of substance use assessment, treatment, and service terminology.
• Ability to establish and maintain effective, therapeutic relationships.
• Capacity to remain calm, professional, and supportive in high-stress or crisis situations.
• Strong organizational skills and attention to detail, including accurate data entry and record management.
• Familiarity with healthcare privacy requirements and documentation standards.
• Strong written and verbal communication skills.
• Ability to work independently and collaboratively within a multidisciplinary team.
• Proficiency with computers and electronic health record systems.
• Cultural humility and ability to work effectively with individuals of diverse backgrounds and identities.

Working Conditions & Physical Requirements

• This position is based primarily in an office environment but includes regular community-based work, including client homes and partner locations.
• Requires frequent interaction with clients in person and by phone.

• Physical requirements include standing, walking, talking, hearing, driving, and using standard office equipment.
• May require occasional lifting or carrying of up to 25 pounds .
• Regular local travel between sites and into the community is an essential function of this role.
