Operations Coordinator

Seeking a highly organized and resourceful Operations Coordinator to manage the day-to-day flow of information and commitments among customers, production, and internal departments. The position will help move orders from receipt through production and shipment while keeping customers informed and internal priorities aligned. This is not a narrowly defined administrative role. The right person will have a startup mentality: comfortable wearing multiple hats, learning quickly, taking ownership, and stepping into unfamiliar problems to help move them toward a solution.

Key Responsibilities

• Coordinate customer orders from receipt through production, shipment, and completion.
• Communicate professionally with customers regarding order status, lead times, schedules, priorities, and open questions.
• Work closely with production supervisors and employees to understand capacity, material availability, and daily priorities.
• Help establish and monitor realistic delivery commitments and proactively address potential delays.
• Follow up on open actions and make sure important customer and production items do not fall through the cracks.
• Coordinate across production, purchasing, engineering, quality, shipping, finance, and customer service.
• Maintain accurate order information, schedules, records, and internal documentation.
• Support special customer projects, new-product launches, and other cross-functional initiatives.
• Assist with purchasing, inventory coordination, production planning, or other operational needs as assigned.
• Identify process gaps and help develop practical systems, checklists, and workflows that improve execution.
• Research issues, organize the relevant facts, involve the right people, and help drive timely decisions.
• Take on new responsibilities as company priorities and customer needs evolve.

• Clear, professional written and verbal communication skills.
• Confidence communicating directly with customers and internal team members at different levels.
• Demonstrated ownership, persistence, and follow-through.
• Ability to work effectively in a fast-moving environment where priorities can change.
• Strong computer skills and ability to learn new software and business systems quickly.

Preferred Qualifications

• Bachelor's degree strongly preferred; equivalent experience may be considered.
• Experience in operations, manufacturing, supply chain, customer service, project coordination, purchasing, or a related field.
• Experience working with an ERP, order-management, inventory, or production-planning system.
• Manufacturing experience is helpful but is not required for a candidate with strong learning ability and operational judgment.
