The Role

As our HR Assistant in Los Angeles, you will serve as an operational anchor for our Global People & Culture team. This role bridges team administration, payroll support, new-hire onboarding, candidate logistics, and front-of-house hospitality. Working closely with both HR Operations and Talent Acquisition, you'll ensure our team members and candidates experience a seamless, welcoming environment from day one. This role will report ON-SITE in our Los Angeles Office 5 days a week, and the expected working hours are between 8:00am to 5:00pm

What You'll Do

Payroll & General HR Support

• Support bi-weekly and semi-monthly payroll cycles in Rippling by entering data, reviewing timesheets, and auditing basic changes.
• Maintain clean employee profiles in Rippling across new hires, team transitions, compensation updates, and offboardings.
• Respond to routine employee questions regarding policies, benefits, and HR processes, escalating as appropriate
• Assist with maintaining personnel files and ensuring data accuracy across HR systems
• Support ad hoc HR projects and administrative tasks as assigned

Onboarding & Compliance

• Lead new-hire documentation workflows, executing compliant and timely I-9 verifications (Section 1 & 2 reviews and E-Verify processing).
• Assigns and tracks completion of mandatory training for new hires, ensuring compliance deadlines are met and following up as needed.
• Send clear, welcoming first-week communications and assist with initial day-one logistics.

Recruiting Coordination

• Schedule candidate interviews across complex team calendars, time zones, and communication channels.
• Maintain accurate candidate data in the applicant tracking system, initiate background checks, and assist with offer packages.
• Coordinate on-site candidate visits, ensuring every prospective team member has a smooth, positive interview experience.

Front Desk & Workplace Operations (As Needed)

• Provide as-needed front desk cover, greeting guests, vendors, and candidates with a warm, professional presence.
• Support overall office vibrancy by assisting with administrative deliveries, visitor logs, and localized team initiatives.
