Staffing Solutions of Hawaii is seeking an Administrative Assistant to join a growing and dynamic team!


Job Description:

1. Provide high-quality service to residents, owners, and guests both in-person and over the phone.
2. Act as the first point of contact for all resident concerns, resolving minor issues immediately and escalating complex matters to the Property Manager.
3. Log and distribute resident packages and manage the secure check-out/check-in of common area keys for vendors and residents.
4. Administrative & Clerical Support
5. Draft and distribute community-wide memos, monthly newsletters, and notices regarding maintenance or inspections.
6. Maintain accurate digital and physical files for resident leases, insurance certificates, and building permits.
7. Monitor office supply levels and coordinate orders to ensure the team has the tools necessary to function.
8. Receive maintenance requests, input them into the tracking system, and follow up with residents to ensure satisfaction after completion.
9. Greet and log contractors (landscaping, plumbing, etc.), ensuring they have proper access to the site and know where to park.
10. Help process monthly maintenance fee payments and assist in generating basic financial reports using Excel.

Position Requirements:

1. Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) is required.
2. Exceptional verbal and written communication skills. You should feel comfortable handling both happy residents and those with concerns.
3. Entry-level candidates are welcome! Prior experience in retail, hospitality, or a front-desk setting is a major plus.
4. Punctuality and a high level of discretion regarding resident privacy.
