Scheduling Coordinator

ATP Flight School Training Coordinator ATP is the nation's largest flight school, providing students with the most efficient path to a successful airline pilot career. Coordinate, build, maintain, and optimize training schedules across ATP JETS programs and locations. Support student and instructor scheduling, simulator allocation and reconciliation, instructor administration, training qualifications, operational incident tracking, and partner communication. Maintain accurate records, meet departmental deadlines, and escalate issues promptly while following applicable FAA requirements and company procedures. Essential Duties and Responsibilities: Develop, coordinate, and maintain student, instructor, and simulator schedules across all ATP JETS training programs and locations, ensuring efficient resource utilization and timely training completion. Monitor training progression, proactively identify scheduling conflicts, and adjust schedules in response to student availability, instructor changes, simulator maintenance, and operational disruptions. Coordinate simulator time requests with internal facilities and external leasing partners, ensuring submissions are completed by established deadlines. Maintain accurate SIM reconciliation records by verifying booking reports, tracking simulator allocations, and ensuring all available simulator time is properly accounted for and assigned to training events. Coordinate student pairings across training locations to maximize simulator utilization, minimize unnecessary costs, and support efficient training operations. Assist with instructor training, qualification, and designation activities by coordinating required training events, monitoring deadlines, and maintaining accurate records. Review and process instructor invoices by verifying completed training events, applicable compensation rates, and supporting documentation; identify and resolve discrepancies before submission. Document, track, and escalate operational incidents, including simulator disruptions, instructor call-outs, scheduling discrepancies, and other issues affecting training delivery. Maintain accurate scheduling databases, operational logs, reconciliation sheets, and departmental records to support reporting, accountability, and operational efficiency. Review assigned Asana tasks daily, prioritize workload, and meet established deadlines. Additional job-related duties as assigned. Education and Experience Requirements: High school diploma or equivalent required; college coursework or degree preferred. Previous experience in scheduling, operations coordination, or administrative support preferred. Aviation industry experience preferred, particularly within an FAA Part 142 training environment. Previous crew scheduling or resource management experience is a plus. Proficiency in Microsoft Office and Google Workspace required. Experience with scheduling software, database management, and project management platforms such as Asana preferred. Excellent customer service experience and professional communication skills required. Knowledge/Skills/Abilities: Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines. Excellent verbal and written communication and customer service skills. Strong analytical, problem-solving, and decision-making abilities. High attention to detail and accuracy in scheduling, reconciliation, and record-keeping. Proficiency in Microsoft Office, Google Workspace, and scheduling systems. Ability to adapt to changing operational demands and resolve time-sensitive issues. Strong teamwork, accountability, and ability to work independently. Ability to understand and follow FAA regulations, company policies, and operational procedures.
