Administrative Assistant

The Administrative Assistant provides administrative and organizational support to ensure efficient office operations. This role is responsible for managing schedules, coordinating communications, maintaining records, assisting with reports, and supporting team members with various administrative tasks.

Key Responsibilities

• Manage calendars, schedule meetings, and coordinate appointments.
• Answer and direct phone calls, emails, and other correspondence.
• Prepare, format, and distribute reports, presentations, and documents.
• Maintain filing systems, records, and databases with accuracy.
• Order and maintain office supplies and equipment.
• Coordinate travel arrangements, meeting logistics, and event planning.
• Assist with invoice processing, expense reports, and basic bookkeeping tasks.
• Greet visitors and provide professional customer service.
• Support department projects and administrative initiatives.
• Maintain confidentiality of sensitive company and employee information.
• Perform data entry and generate routine reports as needed.

Required Qualifications

• High school diploma or equivalent; associate degree preferred.
• 1+ years of administrative, office support, or customer service experience.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong written and verbal communication skills.
• Excellent organizational and time-management abilities.
• Ability to prioritize tasks and manage multiple assignments simultaneously.
• High level of accuracy and attention to detail.
• Professional demeanor and customer-focused attitude.

Preferred Qualifications

• Experience with office management software or ERP systems.
• Knowledge of scheduling and record-keeping procedures.
