About the Position Please Note: Review of applications will begin onAugust 26, 2026. Under general direction of the Associate Dean for Student Equity and Success, this position is responsible for coordination of the full scope of activities performed by the STEM LAB and the College of Science Student Service Center as well as providing ancillary support to the College and leading special projects. Anticipates problems, institutes measures to prevent occurrence and resolves problems as they arise. Responsibilities include: STEM LAB payroll; hiring student assistants, monitoring and approving student hours in Peoplesoft; overseeing STEM LAB budget and purchasing; assisting with the LA schedule; handle advisor calendars and answering student queries; room scheduling; event coordinating; college curriculum support; webpage, communication, and social media coordination and development. Provides historical and operational continuity for these units. Responsibilities STEM LAB Office Coordination This position provides office and operational support for the College of Science’s STEM LAB. This position oversees the day-to-day operational needs of the STEM LAB as well as identifying, implementing, and supporting short- and long-term projects in support of the STEM LAB’s mission. Activities and projects often involve the STEM LAB and the SSC Office and therefore require skillful coordinating and collaboration. Assist with the facilitating the evaluation, hiring, and employment of Learning Assistants (LA) via schedule maintenance for multiple faculty (interviewers), staff (interviewers), and students (candidates) for interviews and for availability for LA slots based on complex schedule review. Processes student employment action forms, verifies students are enrolled in minimal units for employment, reports employment data to the budget office. Maintains records for student assistants employed by the STEM LAB. Track, and reconcile STEM LAB budget, including multiple funding sources including Federal Work Study, LAEP, and grants. Manage purchasing of incidentals and promotional materials. Assist with planning and implementation of LA and TA orientations via managing all logistical arrangements including collaboration with faculty and staff presenters, e-set up, food, and inclusion of mandatory union representation. Develop and provide communication for the STEM LAB, e.g. how-to guides, weekly reminders to complete timesheets, post internship/job opportunities, etc. Represent the STEM LAB at events such as Welcome Day, Preview Day, etc. Note that the STEM LAB reserves a table separate from other entities within the College of Science (e.g. Student Service Center, Academic Departments, College Office). Greets and directs all visitors, faculty, staff, and students in the Student Services Center as needed. Frequently answers inquiries from students, university personnel, and the general public and directs visitors to other offices on campus. CSCI Student Service Center Office Coordination This position provides all office and operational support for the Student Service Center advising team. The position oversees the day-to-day operational needs of the Center as well as identifying, implementing, and supporting short and long term projects in support of the SSC’s mission. Activities and projects often involve the SSC Office and STEM LAB and therefore require skillful coordination and collaboration. Handle advisor calendars in Google and Bay Advisor. Identify, develop and establish protocols for efficient and effective student support including maintaining the SSC Google drive and creating common protocols. Develop and implement marketing strategies and materials. Table at outreach events. Responsible for answering all telephone lines in the Student Service Center. Screens calls and routes to appropriate offices and personnel. Takes clear, concise messages. Frequently answers inquiries from students, university personnel, and the general public. Directs/assigns forms related to the processing of student forms and key requests (including Special Registration, Change of Grade, Petition to Exceed 18 Units, Late Enrollments and Drops, Withdrawals, Academic Dishonesty Reports, etc.) to appropriate HUB staff. General and Curriculum Support for the College of Science This position supports special projects and operational needs in the College of Science. This position also has general knowledge of CSCI’s day-to-day operational needs and can step in as needed to support the college. Enroll students in classes, assist with special registration, and build classes. Track change-of-major/minor process. Assist in developing and implementing marketing strategies and materials. Curriculum Committee administration. Organizes College Curriculum Committee meetings and agendas. Organizes Educational Effectiveness Committee meetings. Special Projects This position identifies and implements special projects that cut across units within the College of Science that relate to student equity and success. The position requires specialized knowledge of the operational needs of units across CSCI including the SSC, STEM LAB, Green Biome Institute, and HUB operations. Provide backup to CSCI administrative staff in their absence on time-sensitive tasks. Assists CSCI staff with onboarding of new staff and faculty, e.g. key requests, furniture and equipment acquisition, software access, training inquiries, etc. Assist with Green Biome Institute website development and maintenance. Webpage design and development for CSCI, STEM LAB, SSC, and academic units. Train and oversee the work of the STEM LAB Communication Lead and CSCI Social Media Influencer. Includes training in social media platforms, analytics, collaboration with Affinity Centers, and marketing strategy. Work with CSCI, STEM LAB and SSC staff to coordinate and plan special events focused on student success and equity. Reservations, catering and setup for events. Make sure the right funds get charged for events with the budget analyst. Minimum Qualifications A fully functional knowledge of and skill in standard office procedures and practices. An ability to understand and operate in a variety of organizational structures. Thorough knowledge of English grammar, spelling, and punctuation and ability to clearly communicate orally and in writing. Knowledge of business mathematics beyond basic arithmetic. Ability to use and quickly learn new office support technology systems and software packages. These minimum qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience. Required Qualifications Knowledge and moderate skill with current Windows operating systems and applications, Google applications, and graphic software such as PhotoShop. Scanner and publication software. Working knowledge of English grammar, spelling, and punctuation. Ability to solve standard office problems. Ability to perform basic arithmetic functions. Ability to respond effectively to inquiries and explain standard procedures and policies to others. Ability to communicate effectively in English with a very diverse community. Strong writing and presentation skills. Preferred Skills and Knowledge Experience with PeopleSoft, and other University software. Experience working in a University or college setting.
