Sr. Administrative Associate - Psychiatry

Job Overview Join the Department of Psychiatry as a Sr. Administrative Associate and play a key role in supporting faculty and Advanced Practice Providers (APPs) at the new Texas Behavioral Health Center. This position is responsible for coordinating essential administrative functions including provider scheduling (Qgenda), timekeeping (myTime), and position management (PeopleSoft), while ensuring smooth daily operations. Minimum 5 years of related experience including at least 2 years of supervisory experience. Additional experience may be considered in lieu of minimum qualifications. Job Duties Manage and direct administrative and business functions of the division or unit, establishing, reviewing, and revising internal procedures. Interpret policies of division, department, or university for unit personnel, supervise clerical operations, and manage workflow for maximum efficiency. Prepare or assist in preparing annual budget for division or unit, analyze financial status, project income and expenditures, and allocate funding sources. Monitor budgets, including income and expenditures; maintain or coordinate maintenance of budgets and grants, reconcile accounts monthly. Supervise staff and provide training; coordinate faculty and classified staff recruitment; exercise decision‑making authority regarding hiring, disciplinary action, and termination. Approve online forms or paperwork for personnel changes, coordinate and prepare staff performance evaluations and merit increases. Coordinate space needs, renovations, and operational services; recommend purchases of capital and non‑capital equipment. Assist in preparing major grant applications or status reports, ensuring timely submission. Ensure accurate and timely patient billing, including charge capture, coding, and reviewing account receivables and payer denials. Prepare or coordinate complex reports requiring collaboration with other departments and outside organizations. Design and execute system of internal controls ensuring effective operations, asset safeguarding, and reliable financial information. Ensure compliance with applicable laws, regulations, policies, and procedures. Perform other duties as assigned.
