SRWC Facilities Coordinator (2-year Fixed Term)

SRWC Facilities Coordinator (2-year Fixed Term) Land, Buildings & Real Estate – Caretakers of a Legacy: Land, Buildings & Real Estate (LBRE) is the operational core of Stanford University’s physical campus. LBRE constructs and maintains the Stanford campus, where advancements across the academic spectrum are made possible. We are committed to serving the university’s academic mission, as well as preserving and enhancing Stanford’s 8,100 acres, and pride ourselves on supporting the teaching and research of the university as “Caretakers of a Legacy.” We are accepting applications for a Facilities Coordinator 2 for a 2‑year fixed‑term assignment at our Stanford Redwood City campus. This role is critical to ensuring operational continuity and excellence during a period of significant campus consolidation. We are looking for an individual with strong operational expertise, a talent for coordination and rapid response, and a commitment to customer service to provide essential support to the SRWC strategic team and leadership. Job Purpose Perform specialized, diverse work activities and coordinate solutions with limited supervision, acting as the operational hub for the SRWC campus consolidation. This individual contributor role is responsible for the hands‑on execution of the logistic coordination and tactical duties required for a successful transition and to ensure seamless operations. This position will mitigate risk, maintain service excellence, and allow the existing SRWC Operations leadership to focus on their core strategic responsibilities. Core Duties Financial & Vendor Coordination: Support SRWC Operations, procurement, and vendors. Manage the increased volume of billing, accounts payable, and purchase order tracking associated with the campus consolidation, ensuring financial accuracy and vendor accountability. Operational Support & Quality Control: Provide critical on‑the‑ground operational support and quality control. Serve as a "Stanford Steward" by performing periodic inspections of vendor work, building readiness, and compliance signage. Monitor and respond to SRWC service request logs, operations email inbox, and Slack channels to ensure rapid response and timely resolution of issues, guaranteeing service excellence is maintained amidst campus changes. Project & Data Management: Manage the tactical execution of consolidation projects, including the complex decanting of multiple buildings and multi‑phase moves. Maintain and update open‑item lists, support property administration (DPA duties) by managing asset records in Sunflower, and coordinate space management updates in iSpace. Communication & Support: Serve as a key point of contact for campus departments, vendors, and internal partners regarding setting expectations, service requests, move coordination, and operational changes. Provide excellent customer service and facilitate clear communication to ensure smooth experience during the transition. Emergency & Systems Preparedness: Support the SRWC resiliency and emergency response program. Coordinate and monitor routine maintenance services (trash, custodial, grounds, pest control) and manage maintenance shutdown procedures, adjusting for changing building occupancy and project timelines. Other duties may also be assigned. Minimum Requirements Education & Experience : Bachelor’s degree and three years of related, demonstrated facilities management experience, or a combination of education and relevant experience. Five years of related experience is preferred. Knowledge, Skills, and Abilities Proven ability to coordinate and manage multiple projects with competing priorities, meet deadlines, and deliver on project plans in a fast‑paced operational environment. Strong interpersonal skills and mature judgment required to interact effectively with a broad range of people, including leadership, staff, and vendors, both individually and in groups. Demonstrated expertise in operational coordination, rapid response, and logistical problem‑solving. Strong customer service orientation and the ability to manage communications effectively during a period of change. Working knowledge of applications such as Excel, Word, and PowerPoint. Experience with Stanford systems like iSpace and Sunflower is highly desirable. Experience with vendor management, services contracting, and purchase order/billing processes. Certifications and Licenses Must possess and maintain a valid California non‑commercial Class C Driver’s License. Physical Requirements Frequently stands/walks, sits, performs desk‑based computer tasks. Occasionally climbs (ladders, scaffolds, or other), twists/bends/stoops/squats, reaches/work above shoulders, grasps lightly for fine manipulation, uses a telephone, writes by hand, lifts/carries/pushes/pulls objects that weigh up to 20 pounds. Rarely kneels/crawls, grasps forcefully, sorts/files paperwork or parts, lifts/carries/pushes/pulls objects that weigh more than 40 pounds. Requires obtaining and maintaining a California non‑commercial Class Driver’s license and driving day or night. Working Conditions Requires 24‑hour response availability seven days per week for emergency situations. May be exposed to noise greater than 80 dB TWA. May work at heights of 4 – 10 ft. The expected pay range for this position is $90,270 to $104,308 per annum. Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
