Executive Assistant – Division President We are seeking a highly experienced and proactive Executive Assistant who provides advanced tactical and strategic administrative support to upper‑level executives within the organization. Responsibilities include managing key records, compiling data for reports, preparing expense reports, handling executive presentations, owning executives’ calendars, scheduling complex meetings, acting as a gatekeeper for communications, and managing all aspects of executive travel. Responsibilities Provide advanced tactical and strategic administrative support to upper executive‑level employees. Maintain key records, compile data for reports, prepare expense reports, and executive briefings. Take ownership of executives’ calendars, schedule complex meetings, resolve conflicts, and prioritize appointments. Prepare or collect detailed meeting agendas, take minutes, follow up on action items, and anticipate scheduling needs. Partner with the Chief of Staff on planning and prioritization; collect meeting agendas and briefing documents, and provide scheduling recommendations. Screen and prioritize phone calls and emails, respond to routine inquiries, and draft responses on behalf of executives. Manage and book all aspects of executive travel, including international trips, visa applications, travel budgets, and emergencies. Handle sensitive and confidential information with discretion and maintain strict confidentiality protocols. Generate statistical and analytical reports for strategic planning and prepare presentations with relevant insights. Act as a primary point of contact between upper executive‑level employees and internal/external stakeholders. Support employee engagement and team operations by coordinating communications, events, and other activities that strengthen collaboration and culture. Collaborate across the organization, pitch in to support the broader team, and share information proactively. Coordinate administrative work within the department/division and work with other departments/divisions and companies. Coach entry‑level executive assistants and administrative support staff of the administrative services department. Education & Experience High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience is recommended. 8+ years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field. The pay range for this position is $40 to $61 USD per hour (U.S. candidates only). Pay varies by work location, job‑related knowledge, skills, and experience.
