Legal Administrative Assistant

Overview Alston & Bird LLP is an international law firm seeking an experienced Legal Administrative Assistant to support its growing Dallas office. The role is part of a team supporting attorneys in the firm’s Financial Services Groups, with responsibilities across contracts, M&A, financial services matters, REITs and real estate funds, securities offerings, and corporate governance. Responsibilities Perform a variety of administrative duties including court filings, typing and revising correspondence, memoranda, documents, time sheets, and project work; proofreading and ensuring quality of all document action; telephone and mail distribution; coordinate and plan events; coordinate travel arrangements; and maintain files. Support firm attorneys in the Financial Services Groups with matters related to contracts; M&A; financial services (complex transactional matters, including traditional and emerging payment methods); REITs and real estate investment funds through formation; public and private securities offerings and mergers & acquisitions; SEC reporting; securities law compliance and corporate governance. Engage in heavy administrative work, case and project management, typing, editing, and proofreading of correspondence and legal documents; billing; electronic filing; answering telephones and sorting mail; interacting with clients and maintaining files; maintaining client portals; coordinating travel arrangements; processing expense reimbursements. Provide organizational support to ensure timely and accurate production of documents and communications; collaborate with colleagues and clients; demonstrate attention to detail and the ability to work under time constraints. Proficiency with MS Word, Outlook, PowerPoint, and Excel; strong general office procedures and filing techniques; ability to concentrate on detail and manage multiple tasks. Qualifications Work experience in administrative roles with word processing, general office procedures, and filing techniques. Knowledge of transactional/corporate and financial processes and procedures; ability to work with a wide spectrum of individuals. Ability to manage heavy administrative workload, cases and projects; strong typing, editing, and proofreading of legal documents and correspondence. Billing experience and electronic filing familiarity; ability to answer telephones and sort mail; maintain client portals; coordinate travel arrangements; process expense reimbursements. Excellent communication and interpersonal skills; ability to work independently and as part of a team; strong work ethic and a proactive, self-starter attitude. Proficiency in MS Word, Outlook, PowerPoint, and Excel; strong organizational skills and attention to detail. Associate or bachelor’s degree is preferred.
