Job Information Supervisor Job Title: Records Assistant Division/Department: Civil Closing Date: June 12, 2026 Location: Baltimore City Circuit Court, 111 N. Calvert St. Baltimore, MD 21202 Salary: $39,865 FLSA Status: Non-Exempt At-Will: No Position Type: Fulltime Benefits The Maryland Judiciary offers a generous benefit package including medical, dental, vision, life insurance, paid time off, paid holidays, tuition assistance, continuing education programs, employee assistance programs, and State Retirement and Pension plans. Telework, up to 2 days per week, may also be available. Telework eligibility is based on job functions and the approval of the Administrative Head. Financial Disclosure As a state employee, you may be required to file an annual Financial Disclosure with the State Ethics Commission. If required, you will be notified by the Judiciary Human Resources Division and must file within 30 days of employment and no later than April 30th of each subsequent calendar year. Essential Job Functions The Records Assistant pulls, sorts, and refiles case files. Pulls mail for Clerk’s departments for Baltimore City Circuit Court. Enters files in File tracking to keep an accurate record of location of file. Assists the public, attorneys, and court personnel at the counter by finding files and providing information. Retrieves, unloads, sorts, and distributes mail. Essential Duties and Responsibilities Pulls case files daily for court personnel, customers, court related agencies, and judges. Receive returned files and refiles. Scan files into the court’s filing system. Locates and photocopies files for customers. Processes outgoing mail and logs certified mail. Retrieves, unloads, sorts and distributes incoming mail. Prepares files for transmitting to the Maryland Archives or for destruction according to the retention schedule. Receives exhibits and transcripts, updates computer system. Notifies and destroys exhibits per rule. May work on special projects as assigned, including shredding files eligible for destruction according to the retention schedule. Minimum Qualifications Education: High school diploma (or GED equivalent). Experience: Six (6) months of work experience. Note: A bachelor’s degree may substitute the required work experience. A Paralegal/associate’s degree or 60 college credits may substitute the required work experience. A Paralegal Certificate may substitute the required work experience. Knowledge, Skills, and Abilities Knowledge Of Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division. Customer service etiquette. Skill In Organization and time management. Accuracy and attention to detail. Verbal and written communication. Interpersonal communication and relations. Ability To Work within time constraints, meet fixed deadlines, and demonstrate good organizational skills. Follow procedures, verbal and written instructions, and protocols for any given assignment. Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc. Use and maintain alphabetical and numerical filing systems. Acquire knowledge of Maryland Judiciary procedures, rules, practices, regulations, and jurisdictional courts. Physical Requirements Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. Equipment, Machinery and Tools Personal computer, copy machine, printers, label machine, fax machine, court case management system HP. Software and Computer Skills Microsoft, Odyssey.
