Marketing & Events Coordinator

Position Summary


We are seeking a highly organized and detail-oriented Marketing & Events Coordinator to support the Marketing department with trade shows, events, marketing administration, vendor coordination, and special projects.

This position is ideal for someone who enjoys managing multiple priorities, keeping projects organized, and working with both internal teams and external vendors. The successful candidate will play an important role in ensuring upcoming events and marketing initiatives are coordinated accurately and completed on schedule.

Key Responsibilities

Trade Shows & Event Coordination

• Assist with coordinating upcoming trade shows, conferences, and company events.
• Manage event registrations, schedules, deadlines, and related documentation.
• Coordinate logistics, shipping, promotional materials, giveaways, and booth requirements.
• Communicate with vendors and internal teams to ensure event needs are addressed.
• Track event deadlines and ensure materials are prepared and delivered on time.
• Help organize event-related information and maintain accurate schedules.

Marketing Administration & Invoice Support

• Process and track marketing invoices.
• Coordinate with vendors regarding billing and payment documentation.
• Maintain marketing records, spreadsheets, and other documentation.
• Assist with purchase orders and expense tracking.
• Provide general administrative support to the Marketing department.

Marketing Project Support

• Assist with the coordination of printed and promotional materials.
• Organize and maintain marketing assets.
• Provide support for email and promotional campaigns.
• Assist with updating internal marketing documents.
• Support additional marketing projects and department initiatives as needed.

Qualifications

• Previous experience in marketing, event coordination, trade shows, administrative support, or a related area is preferred.
• Strong organizational and time-management skills.
• Excellent attention to detail and ability to accurately track information.
• Ability to manage multiple projects, priorities, and deadlines simultaneously.
• Strong written and verbal communication skills.
• Comfortable communicating and coordinating with vendors and internal teams.
• Proficiency with spreadsheets and standard business software.
• Ability to work independently while collaborating effectively with a team.
