Administrative Assistant - Surgery - Part Time 12 Hour Days (Non-Exempt) (Non-Union)

Job Overview Provides administrative/secretarial support, including scheduling and coordination of meetings, seminars, travel, coordinating priorities throughout the day, and performing independent and collaborative projects as needed. Departmental specific summary: The Nursing Office Administrative Assistant performs clerical and reception duties that support the functioning of the Operating Room. Essential Duties Typing and proofing a variety of materials such as correspondence, memos, reports, charts, grants, etc. Editing, copying, and disseminating these materials. Answering the telephone, screening calls, taking messages, relaying information, and assisting callers within scope of authority. Maintaining nursing policies and procedures, ensuring correct formatting, routing to committees for approvals, and ensuring up–to–date policies are posted on the hospital intranet. Coordinating schedules, including arranging meetings and appointments for the Chief Nursing Officer. Providing research and administrative support to special projects, preparing data and follow‑up as directed. Coordinating and confirming travel arrangements, including lodging, airline and/or automobile reservations, preparation of travel authorization forms and expense reports. Managing security of confidential information such as patient records, financial information, salary, staff and legal information. Processing inquiries from patients, their families, and the general public, assessing urgency, and suggesting referrals or informing appropriate administrative representatives when necessary. Taking minutes of meetings and events; preparing agendas; notifying participants; scheduling rooms and meals, and other event preparations. Performing other duties as assigned. Qualifications High school or equivalent (Required) Specialized/technical training in secretarial science and word processing (Preferred) One year of secretarial experience in a senior executive setting, preferably in a healthcare facility (Required) Typing speed of 45–55 words per minute (Required) Proficiency with computer terminal and Microsoft Office software (Required) Clear, concise, and accurate communication skills (Required) Ability to organize and manage multiple priorities with many people in a constantly changing environment (Required) Medical terminology (Preferred) Fire Life Safety Training (LA City); if no card upon hire, one must be obtained within 30 days of hire and renewed before expiration (Required within LA City only) Hourly Rate Range $26.00–$41.28 per hour.
