Job Summary

\n

The Project Manager, Client Services Operations (CS PM) is a dedicated project management role embedded within the Client Services department. This role reports directly to the PMO Manager as their manager and maintains a strong dotted-line relationship with the SVP of Client Services to ensure close alignment with Client Services leadership. This role serves both Client Services Directors and Advisors, bringing the structure, tools, and consistency of the Project Management Office to the day-to-day work of the department.

The CS PM partners with the PMO Manager to build the specific processes and SOPs outlining the tools the Client Services team should be using day-to-day. This role manages and governs Wrike as the department’s project management system of record, using it to coordinate workload across Directors and Advisors, track projects and initiatives, and pull reporting and analytics on team capacity.

Once processes and SOPs are established, the CS PM owns governance of those processes, monitoring adherence, holding the team accountable to consistent execution, and escalating gaps or risks to the PMO Manager as needed.

\n

\n

This role also owns operational coordination of the Advisor support bench, helping ensure project work is staffed thoughtfully based on business priority, advisor capacity, and relevant expertise.

A successful candidate brings prior project management or PMO experience, hands-on comfort with project management software such as Wrike, strong analytical and process-improvement instincts, and the credibility to partner and communicate effectively with the business.

Core Responsibilities

\n

Project Leadership & Operational Execution

\n

\n
• Serve as the dedicated Project Manager for the Client Services department, overseeing day-to-day project management and coordinating priorities across Directors and Advisors.
\n
• Partner with the PMO Manager and SVP of Client Services to translate enterprise priorities into practical, executable plans for the Client Services team.
\n
• Support change management as Healthfuse processes and tools evolve, helping Directors and Advisors adopt new ways of working.
\n
• Partner with Client Success to proactively understand client goals, lead performance and operational improvement discussions, and coordinate internal support to resolve concerns, remove obstacles, and strengthen satisfaction and retention.
\n

\n

Process Governance, Quality Assurance, & Continuous Improvement

\n

\n
• Partner with the PMO Manager to adopt and localize the organization’s standardized project management methodology within Client Services, including processes, SOPs, tools, templates, quality standards, and performance metrics.
\n
• Govern adherence to established workflows once implemented, ensuring Directors and Advisors follow SOPs consistently and that processes remain clear, practical, sustainable, and quality-focused.
\n
• Own quality assurance oversight for Client Services project work, ensuring deliverables, workflows, documentation, and Wrike usage are completed accurately, consistently, and in alignment with defined standards.
\n
• Identify inefficiencies, bottlenecks, quality gaps, and recurring issues through QA review, root-cause analysis, and performance monitoring; implement improvements that reduce rework and improve consistency.
\n
• Partner cross-functionally to streamline workflows, standardize best practices, strengthen quality controls, and leverage automation where it adds value.

\n

Wrike Ownership, Reporting, & Team Alignment

\n

\n
• Serve as the Client Services team’s system owner for Wrike, maintaining the Client Services space, blueprints, workflows, naming conventions, and usage standards that support consistent execution.
\n
• Train and support Directors and Advisors on the use of Wrike as our project management tool, department templates, and best practices.
\n
• Use Wrike to manage workload, project timelines, deliverables, time tracking, and team alignment across Client Services.
\n
• Own the operational coordination of the Advisor project-support bench, ensuring the right Advisors are aligned to the right work at the right time based on project needs, capacity, skill set, and business priorities.
\n
• Pull and analyze Wrike reporting to monitor team capacity, workload distribution, project status, operational performance, and key business metrics.
\n
• Build and maintain recurring reports and dashboards that give Client Services and PMO leadership visibility into capacity trends, initiative status, risks, and opportunities for improvement.
\n

Required Qualifications

\n

• Bachelor's degree in a related field or equivalent experience preferred.
\n
• Demonstrated project management or PMO experience.
\n
• Hands-on experience with project management software, such as Wrike, Smartsheet, Asana, Monday.com, or MS Project, including reporting and dashboard capabilities.
\n
• Ability to manage multiple projects and consistently meet agreed-upon deadlines.
\n
• Action-oriented, independent, and self-motivated.
\n
• Results-driven with a strategic mindset.
\n
• Strong analytical skills, with the ability to translate data and metrics into clear operational recommendations.

COMPENSATION & BENEFITS

\n

This role includes a base salary and an annual bonus opportunity. The base salary range is $80,000–$100,000, based on experience, skills, and alignment with role responsibilities.
