Role Overview
We're looking for an experienced Event Coordinator to join our growing Events team.
This is not an entry-level assistant position. We're seeking a highly organized, proactive professional who can own key pieces of complex events while partnering closely with our Senior Event Coordinator on larger client accounts.
You'll support both corporate and community event clients, taking ownership of vendor sourcing, logistics, budgets, operational planning, and onsite execution. As you become familiar with Adelska's systems and clients, you'll transition into independently managing your own event accounts.
All new team members complete a 90-day introductory period focused on training, onboarding, and ensuring a great mutual fit.
Core Responsibilities
Vendor & Venue Management
- Research and source venues and vendors for corporate and community events, including caterers, entertainment providers, rental companies, and specialty suppliers.
- Evaluate vendor proposals and prepare recommendations for leadership and clients.
- Build and maintain strong vendor relationships.
- Review vendor contracts and identify logistical considerations.
Event Planning & Logistics
- Support planning and execution of Adelska's corporate and community event portfolio.
- Manage event timelines, attendee tracking, project management systems, and planning deliverables.
- Coordinate event collateral, signage, marketing materials, and operational logistics.
- Ensure planning milestones stay on track and deadlines are met.
Event Operations
- Serve as the primary point of contact for vendors throughout the planning process.
- Coordinate permits, Certificates of Insurance (COIs), floor plans, production schedules, and operational details.
- Maintain communication between vendors, venues, clients, and internal teams.
Budget Management
- Track event expenses and maintain accurate budget records.
- Ensure projects remain within approved budgets and client expectations.
- Support invoice reconciliation, expense tracking, and financial reporting.
Onsite Event Leadership
- Serve as a key onsite logistics lead during corporate and community events.
- Direct vendors, oversee event setup and breakdown, and manage assigned event areas.
- Troubleshoot challenges in real time while delivering an exceptional client and guest experience.
Client Support & Growth
- Participate in client meetings and translate goals into actionable next steps.
- Maintain project timelines, planning documentation, and stakeholder follow-through.
- Develop the skills and experience needed to independently manage client accounts and event portfolios.

What We're Looking For
Required Experience & Skills
- 3-5 years of event coordination or event management experience from planning through execution.
- Experience supporting corporate events, community events, experiential marketing activations, nonprofit events, or similar environments.
- Proven ability to manage multiple event timelines and competing priorities simultaneously.
- Experience working directly with venues, vendors, and event suppliers.
- Strong organizational and project management skills with exceptional attention to detail.
- Experience tracking budgets and managing event-related expenses.
- Excellent written and verbal communication skills.
- Ability to remain calm, professional, and solution-oriented in fast-paced environments.
Preferred
- Experience reviewing vendor contracts.
- Familiarity with event management software and project management platforms.
- Experience supporting sponsorship activations, community events, or public-facing experiences.
- Understanding of event insurance requirements, permits, and venue compliance processes.
- Experience supporting client-facing account management.
