Accounts Payable Clerk

Principal Duties and Responsibilities: Essential functions include, but are not limited to, the following: Accurately and efficiently enter invoice and payment data into applicable systems. Follow established accounts payable processes and procedures to ensure invoices are processed accurately and timely. Collaborate with department heads and internal stakeholders to obtain necessary approvals and documentation for timely invoice processing. Review and reconcile vendor statements against invoices and payments to ensure account accuracy. Research, track, and resolve discrepancies related to invoices, payments, and vendor accounts. Communicate professionally and effectively with vendors and internal team members regarding invoice and payment inquiries. Maintain existing vendor accounts and assist with the setup and maintenance of new vendors in accordance with company policies and internal controls. Process stop-payment and void-check requests accurately and in a timely manner. Assist with month-end closing activities, reconciliations, and related reporting. Support special projects and other accounting-related initiatives as assigned. Maintain a high level of accuracy, confidentiality, and compliance with established internal controls. Education and Experience Requirements: High school diploma or G.E.D. required. Minimum of two years of clerical, administrative, accounting, or related experience. Strong attention to detail and commitment to accuracy. Excellent organizational and time-management skills. Strong interpersonal skills with the ability to effectively interact with individuals at all levels of the organization. Excellent verbal and written communication skills. Ability to follow established processes and procedures while exercising sound judgment when resolving discrepancies. Understanding of basic internal controls and the importance of maintaining accurate financial records. Preferred Qualifications: Previous experience with AS400 or similar accounts payable/ERP systems. Experience with Concur, Synergize, or comparable invoice-processing systems. Proficiency with Microsoft Excel and Microsoft Office applications. Familiarity with accounts payable processes, procedures and best practices. Strong computer skills and the ability to learn new software systems quickly.
