Office Manager

Knudtsen Auto Group, a family‑owned business based in Post Falls, ID, is hiring an Office Manager to lead accounting operations, support dealership performance, and mentor office staff. Train and supervise office personnel. Assist Controller with preparation of monthly financial statements according to dealership guidelines. Control posted documents, including time records, vehicle deals, commissions and inventory changes. Reconcile bank accounts and provide daily cash reports. Manage petty cash for dealership and sales department. Provide department managers with detailed financial and management reports. Review entries made by accounting staff, body shop CSR and service Warranty Administrator and investigate unusual entries. Reconcile select accounts/schedules. Approve adjustments to inventory and receivable accounts. Ensure all manufacturer accounts (warranty claims, rebates, interest, protection, co‑op advertising) are current and accurate. Assist in closing month‑end within 10 business days. Participate in preparation of short and long‑term forecasts as requested by the Controller. Assist in completion of annual review/audit. Ensure compliance with all government regulations. Prepare manager bonuses and commissions for payroll during month‑end. Prepare tax reports, tax deposits and tax returns accurately and on time. Stay current on factory incentives and deliver updates to dealership computer system. Administer charge‑backs to F&I and vehicle gross. Prepare sales commission/chargeback detail reports. Manage payoff of vehicle floor plan and work with bank representatives. Approve new charge accounts and oversee collection of past‑due accounts. Compile information and prepare reports for management and dealer principal. Provide support to office team with titling, VSC/ancillary products, etc. Cross‑train a qualified substitute. Maintain a professional appearance. Attend manager meetings as requested. Process and post payroll. Post body shop repair orders in DMS. Other tasks as assigned. Qualifications Bachelor’s Degree in Business Administration preferred. 4–6 years of automotive accounting experience, or equivalent education. Basic computer skills; proficiency in Word, Excel and ability to learn database management software. Proficient oral and written communication skills. Valid driver’s license. Clean motor vehicle report and safe driving record. Pass a criminal background check and drug test; subject to random drug testing. Physical Demands and Working Environment The Office Manager may be required to stand, sit, walk, lift up to 20 pounds, and perform other motions described in the job description. The work environment includes office settings and occasional dealership property and service areas, with exposure to inclement weather and moderate noise.
