Position Summary An integral member of the Museum's registrar team within the Exhibits department, reporting to the Exhibition Project Manager/Senior Registrar, the Associate Registrar assists in all aspects of registrar and collections duties for artifact loans and temporary exhibit projects as needed. As a member of the Exhibits Department, the Associate Registrar works under general supervision and performs moderately complex registrar work. This includes loan agreements, loan extensions, condition reports, environmental monitoring, courier trips, artifact handling and packing, image use and permissions, CMS data entry, and artifact installation. The Associate Registrar assists the registrar team with developing and implementing artifact loan policies and procedures, creating and maintaining loan documentation, and maintaining the Museum's collections management system. Responsible for managing all registrar duties related to assigned artifact loans, including but not limited to: drafting and completing loan paperwork, coordinating artifact transport, condition reporting, maintaining lender relations, organizing loan documentation, and CMS data entry. Organizes and maintains CMS records of artifact loans, including but not limited to: object locations, insurance requirements, object descriptions, shipping notes, object movements, condition notes, display requirements, loan and display dates, lender information, and credit lines. Works with the registrar team to ensure TSHM compliance with loan terms, conditions and agreements. Helps ensure proper handling and care of artifacts and assists Exhibits staff with artifact installation, de-installation, and the install/de-install schedule. Assists with developing criteria for collections data management according to best practices befitting an accredited institution of AAM. Coordinate incoming and outgoing shipping for loaned artifacts, including traveling for courier trips, and driving a cargo or box truck when necessary. Monitors and archives HVAC reports and collaborates with Facilities staff to address and troubleshoot related RH and temperature issues in secure artifact areas, cases and exhibits. Coordinates with Exhibits and Education teams for in-gallery image licensing rights. Works with Web and Digital Media and Marketing teams on image use, licensing, tracking, and data sharing for on-line and A/V use. Responsible for organizing and archiving licensed images and related documents. Works with the registrar team to strategize and keep up to date on new collections practices that can make the department and procedures more efficient and provide a better visitor experience. Participates in Exhibits team's planning and development of permanent and temporary exhibits. Serves as the registrar team's Additional Duty Safety Officer (ADSO), participating in ADSO meetings and training organized by the Risk Manager. Demonstrates knowledge and continuing compliance with all applicable safety rules, regulations, and standards. Perform all duties as assigned in a manner that promotes public confidence in the State Preservation Board and its employees and in accordance with the agency's high ethical standards. Regular attendance is an essential job duty for all SPB positions. Performs all other duties as assigned. Minimum Qualifications Bachelor's degree with emphasis in history, art history, Museum Studies, library/information science, anthropology, archaeology, or a related field Two (2) years' experience as a collections manager, registrar or curator Technical knowledge of data management systems for museum collections Basic photography skills for documentation and condition reporting, familiarity with proper artifact handling, collections management processes, and knowledge of environmental monitoring for varied types of artifacts Must have a valid driver's license Preferred Qualifications Master's degree in one of the above fields Three (3) plus years of experience as a successful museum registrar Familiarity with traveling exhibits and travel requirements for artifacts and museum experience reflecting the applicant's work with a wide range of private lenders and institutions Knowledge of Texas history and experience working within the Texas museum community is favorably considered by the Museum's hiring division Bilingual language skills in Spanish and English Knowledge, Skills, and Abilities Understanding and knowledge of museum, exhibits and collections techniques, methods and practices Ability to research and abstract information; draw sound conclusions; communicate in writing and verbally in English Skilled at using a computer to perform research, correspondence, and data entry Ability to perform manually repetitive tasks including using a computer keyboard, telephone, touch tone dial pad, and other office equipment. Visual and manual dexterity and accuracy are required.
