Administrative Support - Mommy Haven

Mommy Haven

Position Purpose:

The Administrative Assistant volunteer provides essential behind-the-scenes support that keeps Mommy Haven running smoothly and efficiently. This volunteer ensures that organizational systems, communications, and operations are well-organized, allowing staff to focus on serving mothers and families.

Impact of This Role:

Your organizational support creates the foundation that makes all of Mommy Haven's work possible. Every email you send, every file you organize, and every database you update helps ensure that mothers receive timely services, volunteers stay connected, and operations run seamlessly. You are the invisible force that keeps hope organized and accessible.

Key Responsibilities:

    • Help organize emails, documents, and digital files using clear filing systems
    • Assist with data entry and volunteer tracking in organizational databases or spreadsheets
    • Help maintain and update contact lists, outreach records, and partner databases
    • Support daily organizational tasks including scheduling, correspondence, and follow-ups
    • Prepare materials for meetings, events, and programs
    • Help keep operations organized and on schedule through calendar management and reminders
    • Assist with creating and updating spreadsheets, reports, and tracking documents
    • Draft and send routine communications, thank-you notes, and follow-up emails
    • Scan, file, and organize physical and digital documents
    • Provide general administrative support as needed to keep the organization running efficiently

Preferred Experience / Qualifications:

    • Previous administrative, office support, or executive assistant experience
    • Experience with customer relationship management (CRM) systems or volunteer management software
    • Familiarity with project management tools (Asana, Trello, Monday.com, etc.)
    • Bilingual skills (Spanish or other languages)
    • Experience with document management systems or cloud storage (Google Drive, Dropbox, etc.)
