A boutique recruiting agency is seeking a highly organized, polished, and proactive Recruiting Administrative Assistant to support the President of the firm and the Executive Assistant with day-to-day operations. This role offers an excellent opportunity for someone who thrives in a fast-paced environment and enjoys multitasking while gaining insights into the recruiting business.
Responsibilities
- Assist with daily administrative and operational needs of the President and Executive Assistant
- Intake and organize candidate information, including resumes, contact details, and interview notes
- Schedule candidate interviews and coordinate calendars with internal staff
- Serve as a gatekeeper for incoming phone calls, screening and directing calls appropriately
- Maintain candidate records and ensure databases are accurate and up to date
- Communicate professionally with candidates, clients, and internal team members
- Assist with general office support and occasional personal/business errands
- Handle confidential and sensitive information with discretion
- Support special projects and additional administrative tasks as needed
Required Qualifications
- 3+ years of recruiting administration or related office support experience
- Strong organizational and multitasking skills with excellent attention to detail
- Professional phone demeanor and strong interpersonal communication skills
- Ability to prioritize effectively in a fast-moving environment
- High level of discretion and confidentiality
- Proficiency in Microsoft Office, Outlook, and applicant tracking systems
- Bilingual in Spanish is a plus
- Resourceful, dependable, and willing to take initiative
$36 - $41 per hour
