PROJECT ADMINISTRATOR for Commercial Construction General Contractor

On-site, Mon-Fri position – NOT ELIGIBLE FOR REMOTE WORK

We are seeking an organized, detail-oriented Project Administrator to join our team. This role is ideal for someone with solid construction-office experience who thrives on deadlines, multitasking, and keeping projects running smoothly behind the scenes.

Key Responsibilities

• Manage client and subcontractor contracts and tracking logs

• Handle project startup paperwork (insurance, purchase orders, 20-day prelims, submittals, RFIs, notices) and maintain documents in the company database

• Support multiple Project Managers with proposals, budgets, schedules, and purchase orders

• Track bidding activity, maintain the bid calendar, obtain bid bonds and performance & payment bonds, and follow up as needed

• Coordinate permits — follow up on plan review, troubleshoot issues, and submit required documents

• Track owner change orders and manage incoming subcontractor bids

• Schedule and document required inspections with city/county and utility companies

• Read and interpret construction drawings, bids, schedules, specifications, and contracts

• Work with lenders/banks on front-end project documents

• Prepare professional correspondence, presentations, substantial completion certificates, and project close out documentation

• Create complete close-out packages for clients (including as-built plans and proper archiving)

• Coordinate weekly project safety meetings

• Provide general administrative support (phones, door, document pickup/drop-off, office equipment troubleshooting, and other duties as assigned)

Required Qualifications

• High school diploma

• Excellent knowledge of Windows file structure and Microsoft Office

• Strong multitasking ability and calm performance under pressure while meeting deadlines

• Ability to support multiple Project Managers and the accounting department across varied projects

• Professional appearance and demeanor with the ability to represent the company well to clients and partners

• Self-motivated, disciplined, and able to work independently as well as collaboratively

• Ability to read and interpret construction plans

• Minimum 5 years of experience in a construction office environment

• Good driving record

Preferred Qualifications

• Experience with Procore and/or Bluebeam
