SAP Coordinator

Position Summary Casa Central’s School Age Program (SAP) provides out-of‑school time enrichment programming for children ages 5‑12 and their families. The Program Coordinator is responsible for orienting, training, coaching, and monitoring staff, volunteers, and interns; overseeing the daily schedule; supporting lesson planning; responding to child and family needs; ensuring timely and accurate classroom documentation (weekly club lesson plans, food logs, attendance/nutrition logs, child assessments, etc.); and ensuring compliance with stakeholder expectations. The Coordinator also serves as Site Director in the absence of the Director, provides input into staff evaluations, and provides classroom coverage when needed. Essential Duties and Responsibilities Fiscal Management : support planning and management of the program’s budget, monitor grant and contract budgets, ensure recovery of revenue, exercise accurate cash handling, and collect co‑pays and transportation fees. Participant Service Delivery : orient and integrate new children and families, lead recruitment and enrollment, assist in classrooms and transportation routes, review child assessments, support parent workshops, plan special events, and maintain adequate staffing coverage. Performance & Quality Management : implement the agency mission and core values, support the Performance Quality Improvement process, develop annual work plans, oversee reporting on demographics and program dashboards, and ensure compliance with PQI standards. Personnel Supervision & Team Leadership : manage staff selection, onboarding, training, and performance evaluation; maintain a professional and respectful work environment; and coordinate staff training needs. Program Operations : lead DCFS relicensing, ExceleRate renewal, and COA reaccreditation processes; maintain compliance documentation; develop and maintain record‑keeping systems; and approve timesheets in line with agency guidelines. Stakeholder Relationships & Partnerships : nurture collaborative relationships with agency staff, partner schools, and community organizations; produce communication pieces for stakeholders. Administrative Tasks : approve timesheets, assist the Director with programmatic reports, process CCAP paperwork, manage databases and scheduling, and provide clerical support such as answering phones, typing, and filing. Reasonable accommodations may be made. Education / Experience Minimum associate degree in child development or a related field; B.A. in Education is acceptable. At least 750 clock hours of experience in a recreational program or licensed day‑care center serving school‑age children. Language Skills Bilingual in Spanish preferred. Computer Literacy & Knowledge Skills Proficiency in word processing, spreadsheets, internet use, data entry, and Microsoft applications; preferred knowledge of online database systems. Mathematical Skills Ability to perform basic arithmetic operations and analyze data using charts and graphs. Operating Environment & Working Relationships Cooperative team member; establish relationships with families and stakeholders from diverse backgrounds. Decision Making Authority Ability to solve practical problems, interpret instructions, and convey information to stakeholders. People Management Must supervise and direct staff of varying educational and experiential backgrounds; adhere to Casa Central personnel policies. Remote Work / Technology Not eligible for remote work; a personal mobile phone is not required and not eligible for reimbursement. Physical Demands Regularly required to sit, talk, and hear; frequently use hands; able to lift and carry 25 lbs. Work Environment The work environment is usually moderate in noise level.
