Job Summary
The Front Desk / Patient Services Representative is the first point of contact for patients and plays a critical role in delivering an exceptional patient experience. This position is responsible for patient check-in/check-out, scheduling, insurance verification, and supporting the clinical and billing teams to ensure smooth daily operations in a vein and vascular specialty practice.
Key Responsibilities
Patient Experience & Front Desk Operations
- Greet patients professionally and warmly upon arrival
- Check patients in and out accurately using the EMR system
- Collect demographic information, insurance cards, and required forms
- Collect co-pays, deductibles, and patient balances at time of service
- Answer incoming calls promptly and professionally
- Respond to patient inquiries regarding appointments, procedures, and general clinic information
Scheduling & Coordination
- Schedule new patient consultations, ultrasounds, and follow-up visits
- Coordinate procedure appointments in accordance with provider and ultrasound availability
- Confirm appointments and follow up on no-shows and cancellations
- Communicate scheduling changes clearly to patients and clinical staff
Insurance & Administrative Support
- Verify insurance eligibility and benefits prior to patient visits
- Obtain and track prior authorizations for vein procedures and imaging when applicable
- Explain basic insurance coverage and financial responsibility to patients
- Maintain accurate and complete patient records
Clinic Support & Compliance
- Maintain a clean, organized, and welcoming front office environment
- Ensure HIPAA compliance and protect patient confidentiality
- Assist with scanning, filing, and documentation as needed
- Support billing and clinical staff with administrative tasks as assigned
- Room patients and assist with clinical flow if needed
Qualifications
Required
- High school diploma or equivalent
- Minimum 1 year of experience in a medical front desk or healthcare office
- Strong customer service and communication skills
- Familiarity with EMR/EHR systems
- Ability to multitask in a fast-paced clinical environment
Preferred
- Experience in a vein, vascular, radiology, or specialty medical practice
- Knowledge of insurance verification and prior authorizations
- Experience collecting patient payments and discussing financial responsibility
- Understanding of medical terminology related to vein or vascular care
