Billing Assistant

The Phoenix Group

Manage the full monthly client billing cycle, including prebills, invoice preparation, revisions, approvals, posting, and distribution Coordinate e-billing submissions, monitor billing workflows, and resolve billing discrepancies Review and process transfers, write-offs, fee arrangements, and billing adjustments in compliance with firm policies Monitor Work in Progress (WIP), aging reports, fee caps, and billing goals to ensure accurate and timely billing Ensure compliance with client billing guidelines, outside counsel agreements, and matter‑specific requirements Set up and maintain accurate billing information for new matters, including rates, billing codes, discounts, and file details Maintain billing documentation and records within the firm’s document management system Communicate proactively with billing partners, attorneys, clients, and internal teams regarding billing matters and inquiries Prepare billing forecasts, reports, and analyses as requested Escalate billing issues to management when necessary Qualifications 0-2+ years of legal billing experience in a law firm or professional services environment Bachelor’s degree in Business, Accounting, Finance, or related field preferred Strong analytical, organizational, problem‑solving, and time management skills Excellent written, verbal, and interpersonal communication skills Detail‑oriented with the ability to manage multiple priorities in a fast‑paced environment Proficiency in Microsoft Office, e‑billing platforms, and document management systems Ability to work independently and collaboratively with minimal supervision Flexibility to work outside standard business hours as needed Ability to comply with the firm’s hybrid/agile working policy requiring in‑office attendance at least three days per week The Phoenix Group Advisors is an equal opportunity employer.
