Lead Billing Specialist As Lead Billing Specialist, you will be accountable for creating invoices from repair orders, submitting them to customers for approval and/or payment with required documentation, and assisting technicians in creating and submitting estimates for customer approval. Duties & Responsibilities Prepare repair orders (RO) by describing symptoms, problems, and causes, inputting RO into the service database system. Verify that technicians have selected the correct VMRS code related to repairs and that billing hours align with standard repair times. Prepare actual invoices from created RO by applying customer‑specific rates and mark‑ups. Improve RO quality by identifying weak points—such as missing or incorrect information—and editing ROs to eliminate customer disputes while ensuring full invoice amounts are captured. Reach out to technicians and Mobile Technician Leaders regarding repairs and required information to process invoices. Create vehicle repair service estimates based on compiled information from Mobile Technicians and Customers. Communicate with customers via email, fax, or phone to retrieve purchase order approvals and/or discuss billing issues. Gather necessary paperwork and upload it into the system for records. Requirements High School Diploma/GED and 7 years of experience in a related field, or any degree/certification beyond a HS diploma/GED with 5 years of experience, or 9 years of experience in a related field. Proficiency with Mitchell One or similar estimating systems. Strong communication skills (written, verbal, and phone) and customer service skills. Proficient computer skills (MS Office, email, typing, software navigation) to generate repair estimates and process invoices. Sense of urgency, action-oriented, and capable of working with minimal planning. Existing knowledge of standard repair times (SRT) for common services. Preferred experience in service writing. Works well independently and within a team environment. Ability to perform basic arithmetic in all units of measure. Maintains a professional yet friendly demeanor. Demonstrates strong interpersonal and customer service skills. Communicates clearly and effectively. Pay close attention to detail. Exhibits the ability to remain calm and polite when dealing with frustrated customers and/or technicians. Compensation Hourly pay rate is $24.23 – $36.35 per hour, varying within this range based on location and the candidate's knowledge, skills, and abilities. The position may be eligible for additional compensation such as commission and/or incentive programs.
